HR Assistant (Wimbledon and Ashford)
October 1st starting
13 months graduate contract
ROLE SUMMARY
We have two exciting opportunities to join Coty in our HR internship scheme, designed to develop and build strong foundational skills in the market, with the potential to develop into international career opportunities within the Company longer term.
The HR Assistants will sit within the UKI HR Team and will support the respective HR teams based in Wimbledon or Ashford. They will support the teams with case management and execute cyclical HR processes. The role will also support across areas including employee engagement, talent, and performance management, learning and development, employee relations, benefits etc., relying as necessary on Coty HR Centres of Excellence.
KEY RESPONSIBILITIES
HR & Data Fundamentals
- HR data management and reporting – expert user on internal HRIS tools MCT (HRIS) and People Connect (Intranet)
- Track all Starters, Leavers and Change and ensure relevant changes are managed on the internal HRIS
- Analysing & developing data & data management processes using Microsoft Excel, Power BI and AI tools to drive continuous improvement in HR processes and producing monthly reports
- Org Charts – ensure these are updated monthly and reflective of the current structure
- HR generalist support & advice on policy, benefits and processes
- Assist with raising Purchase orders & invoice management.
- Liaise with HR Operations team (HRDD) on queries relating to payroll or HR matters.
Talent Management & Culture
- Coordinate the annual intern recruitment and onboarding programme and support managers through the process
- Support the HR Business Partners with preparation for annual talent reviews and calibration to ensure a strong understanding of our site skills set.
- Coordinate learning and training initiatives in line with function & site objectives.
ER Case Management
- With support from HR Business Partners, manage employee relations matters including, but not limited to:
- Formal and informal meetings/resolutions
- Ensure well documented and fair outcomes achieved in all cases
- Update and reviewing templates in keeping with best practice and changes in legislation
- Oversee the HR inbox and be the initial point of contact for HR policy related advice.

Employee Engagement & Change
- Facilitate and coordinate the UK&I onboarding programme for new starters, delivering onboarding sessions and helping to create a positive and engaging employee experience from day one
- Support the employee engagement agenda including but not limited to supporting the Employee taskforces, building a strong communication agenda, and facilitating employee townhall events.
- Support Engagement survey cascade, analysis and connected action planning activities, proactively collaborating with other functions
- Draft and coordinate internal HR communications and the monthly HR newsletter, ensuring content is engaging, accurate and aligned with company messaging
Learning & Growth
- Support the delivery of learning and development initiatives
- Manage the organisation of the annual Benefits or Learning Festival depending on site requirements
- Update a calendar of learning and growth initiatives and communicate these to the business ensuring communication remains consistent and the business.
- Lead ad-hoc HR projects at a local level in areas such as workforce planning, skills development, early years careers, and talent pipelining.
DEI
- Own the DEI calendar, working with the community team to deliver relevant initiatives and communications
- Support the DEI agenda, including but not limited to supporting the running of the site taskforces.
EXPERIENCE & REQUIREMENTS OF THE ROLE
- Relevant HR or similar qualification
- Advanced computer and excel skills- capability to analyse, ensure accuracy and report on complex excel reports as well as other IT programmes.
- Strong verbal and written communication skills
- Follow the correct safety, quality and internal controls procedures at all times.
- Act as a Steward of the Company in everyday activities.
