HR & Office Coordinator
Location: Hammersmith, London
Working pattern: Full-time, office-based, 5 days per week
Salary: £16–£18 per hour, depending on experience
Contract: Full-time
We are looking for an organised, people-focused HR & Office Coordinator to become a central part of our Hammersmith office.
This is a varied role sitting across People, Culture, Office Operations, and Employee Experience. You will help ensure the office runs smoothly day to day, provide practical HR administration support, coordinate internal events and culture initiatives, and make sure our team has an enjoyable, well-organised and professional environment in which to work.
We want someone who notices the small things: whether the office needs fixing, a new starter needs support, an event needs organising, employees need better information, or there is an opportunity to make working here more enjoyable.
You will work closely with the HR team and wider leadership team while taking real ownership of the employee experience within our Hammersmith office.
Key Duties & Responsibilities
- Act as the central point of contact for the day-to-day employee and office experience within our Hammersmith office.
- Champion office happiness, culture, and employee engagement, identifying practical ways to improve the working environment.
- Support the HR team with employee lifecycle administration, including onboarding, offboarding, probation documentation, employee records, HR correspondence, and general employee queries.
- Help create and deliver internal culture, engagement, recognition, and wellbeing initiatives.
- Lead the Office Social Committee and coordinate social events, team activities, celebrations, and internal company events.
- Measure the success of culture and engagement initiatives through participation, feedback, employee sentiment, and other relevant metrics.
- Coordinate event logistics including venues, suppliers, budgets, communications, and attendance.
- Take ownership of the day-to-day running, presentation, and maintenance of the office.
- Manage office suppliers, contractors, cleaning, maintenance requests, office stock, equipment, and general facilities requirements.
- Act as the internal coordinator for IT requirements, including new starter equipment, laptops, access requests, IT asset records, equipment returns, and liaison with external IT support.
- Track IT issues through to resolution and support employees with basic day-to-day technology queries where appropriate.
- Support Health & Safety within the office, including risk assessments, DSE requirements, fire safety, first aid arrangements, workplace checks, and maintaining appropriate records.
- Help coordinate new starter inductions and ensure employees have the equipment, access, information, and support they need from day one.
- Gather employee feedback and identify recurring issues or opportunities to improve the employee experience.
- Maintain accurate and confidential HR, office, IT, and Health & Safety records.
- Support recruitment administration, including interview coordination and candidate communications where required.
- Coordinate meetings, visitors, travel, hospitality, and internal events as needed.
- Provide general administrative and executive support to the leadership team where required.
- Support ad-hoc People, HR, office, and operational projects across the business.
- Take ownership of issues through to completion, ensuring employees have a reliable point of contact for practical office and people support.

About You
We are looking for someone who combines strong organisation with genuine enthusiasm for people and workplace culture.
You will ideally have:
- Previous experience within an HR Coordinator, People Coordinator, Office Coordinator, Workplace Coordinator, or similar role.
- Experience working within an office environment.
- Some practical experience supporting HR administration.
- Strong organisational and administrative skills.
- Excellent written and verbal communication skills.
- Confidence communicating with employees at all levels.
- Strong attention to detail.
- The ability to manage several priorities at once.
- A proactive mindset — you notice what needs doing and take ownership of it.
- Confidence organising events and coordinating suppliers.
- Good working knowledge of Microsoft Office and/or Google Workspace.
- Comfortable learning new HR, IT, and business systems.
- A discreet and professional approach when handling confidential information.

Qualifications
- CIPD Level 3 Foundation Certificate in People Practice, or currently studying towards it.
We will also consider candidates with relevant HR/People experience who are interested in completing their CIPD qualification.
Experience or training relating to workplace Health & Safety, First Aid, or Fire Safety would be useful but is not essential.
