The Role
The HR Officer plays a crucial role in ensuring the effective management and development of the human resources throughout the Group. This position involves a variety of tasks that support the organisation’s HR operations, including recruitment, employee relations, performance management, compliance, and HR policy implementation. The HR Officer will work closely with both employees and management to create a productive and positive work environment.
Responsibilities
- Review and report all absences across the Group, monitoring and dealing with any triggers, applying sanctions where required.
- Efficiently and effectively plan own diary.
- Provide direction to direct reports, regarding all contractual documentation and HR advice.
- Provide quality and factual HR advice and guidance to all managers and employees across the group.
- Support with overflow calls from reception team, providing excellent customer service always, and dealing with queries immediately.
- Ensuring timely maintenance of the HR, Recruitment, Driver, Payroll, Leavers and personal email inboxes and deal with accordingly, within the HR SLA’s.
- Provide reports on all areas of HR, Payroll and Learning and Development, including the application of Employment Law, HR policy, best practice and workforce development.
- Deliver the Corporate Induction and on-boarding programmes for all new starters, ensuring a comprehensive and consistent approach is taken.
- Ensure that the appropriate contractual documentation, as prepared by HR team members, is issued to employees in relation to appointments, terminations and variations to terms and conditions, in line with statutory timescales.
- Produce weekly management slides containing data for new starters, leavers, probation reviews, and AOB, to be presented at weekly management meeting.
- Collate data and input into PRIME slide deck containing attrition, absence, probation reviews, and CV response rates, to be presented at monthly PRIME meeting.
- Collate data and input into monthly Director slides for the Head of HR to present at the HR update for Directors, which includes Recruitment, Attrition, Absence, Contracts, Disciplinary Issues, Payroll and AOB.
- Complete fact finds as and when required, at times with short notice.
- Train and support managers and supervisors to complete their own fact finds to the required Group’s HR standards.
- Support managers with taking notes and making decisions within disciplinary hearings, formal meetings, and appeals.
- Assist employees in the process of instigating the grievance process if unsure, identify grievances verbally raised by employees or colleagues.
- Manage and support colleagues and managers within grievance hearings and fact finds.
- Support managers and employees with Performance management implementation in managing poor performance and action setting.
- Take accountability for and reducing absence statistics and support managers in managing sickness absence, short and long term.
- Ensuring unauthorised absence is dealt with accordingly, following guidance from Contract Managers.
- Dealing with family friendly leave, including maternity, paternity, shared parental leave and flexible working requests in a timely manner, and in accordance with government statutory guidelines.
- Actively participate in the development, simplification and continuous improvement of HR policies and practices.
- Lead recruitment campaigns for hourly and salaried vacancies, ensuring they are progressed without delay and in line with best practice, company values and employment law.
- Provide professional leadership, support and development to HR employees, in order to increase knowledge, share best practice and to ensure that relevant professional standards are met.
- Ensure that the company complies with current regulations, accepted professional standards, policies and procedures and legislation (including legislation on data protection, the Equality Act and health and safety).
- Take a lead role in transforming and strengthening the organisational culture, ensuring that the company values and approach are displayed.
- Lead by example on policies such as diversity, equality, and inclusion that aligns with company values, business strategy and commitments.
- Ensure managers are sufficiently skilled and enabled to access appropriate guidance and information to manage workforce issues.
- Direct and manage the performance and development of team members, and direct reports.
- Direct and manage the preparation and agreement of individual action plans and targets for all team members, and direct reports.
- You are responsible for managing your staff constructively and where necessary in accordance with Company disciplinary procedures.
- Maintain accurate payroll, associated financial and other records and activities.
- Be able to advise colleagues and managers as to the payroll processes within Doocey Vision.
- Process Hudson invoices from finance input stage to Hudson upload within Doocey Vision.
- Complete Hudson upload into portal and issue to finance for payment on Hudson web portal.
- Process Timesheets in Payroll Input stage within Doocey Vision.
- Inform and advise the Data Protection Officer on all matters related to data protection.
- Promote a culture of data protection compliance across all units of the organisation.
- Provide expert advice and educate employees on important data compliance requirements.
- Deliver training to employees across different business units who are involved in data handling or processing.
- Ensure you carry out your duties to the best of your ability, having consideration for the needs of your direct reports, the organisation and its clients/customers.
- You must obey all lawful and reasonable orders given to you and comply with the organisation’s rules, procedures and policies.
- The role is part of the whole organisation team and as such requires you to perform such reasonable tasks that are required as and when are necessary to maintain, promote, develop and expand the business of our organisation and its interests generally.
- Conduct exit interviews for PAYE leavers, ensuring all information is reported to their line manager upon completion.
- Support managers to complete informal and formal meetings with employees effectively and within a timely manner, ensuring sound advice is given to managers to support their decision making.
- Attend mandatory training courses as defined within the company training matrix.
- Keep up to date with legislation and record ‘Continued Professional Development’ (CPD).

Technical Skills & Experience

Qualifications & Training
- CIPD Qualification Foundation Level (Level 3) or above as a minimum.
- A minimum 5 years’ experience within a HR role.
- Fluent level of both spoken and written English.
