Kaizen is seeking an experienced and proactive HR Officer to join our growing People team.
Reporting to the HR Director, this role will be responsible for the day-to-day delivery of HR operations, employee relations, people processes, and employee experience initiatives across the business. Working closely with the HR Director, the HR Officer will play a key role in supporting managers and employees throughout the employee lifecycle, ensuring HR processes are delivered effectively, consistently, and in line with company policies and employment legislation.
This is a hands-on role that combines operational HR delivery with the opportunity to support the implementation of people initiatives and projects that contribute to business growth and employee engagement. The successful candidate will be highly organised, people-focused, and comfortable working in a fast-paced environment where they can make a meaningful impact.
Key Activities and Responsibilities
HR Operations & Employee Lifecycle
- Manage the end-to-end employee lifecycle, from onboarding through to offboarding, ensuring a positive employee experience
- Oversee HR administration processes, ensuring accuracy, compliance, and consistency across all employee records
- Maintain accurate employee records and people data within the HRIS
- Manage contract changes, promotions, salary reviews, and organisational updates within HR systems
- Coordinate and oversee monthly payroll inputs, ensuring employees are paid accurately and on time
- Produce regular HR reports and people metrics to support business decision-making
- Monitor and manage employee absence, including sickness, parental leave, and other forms of leave
- Support recruitment activities, including offer management, onboarding, and new hire administration
Employee Relations & Manager Support
- Act as the first point of contact for employee relations matters, including disciplinary, grievance, absence, and performance management cases
- Provide guidance and support to managers on HR policies, procedures, and best practice
- Coach managers to ensure people issues are managed consistently, fairly, and in line with company policies
Performance, Engagement & Development
- Coordinate and support performance management processes across the business
- Partner with managers to identify development needs and support learning initiatives
- Support the HR Director in delivering employee engagement initiatives, surveys, and action plans
- Assist with wellbeing, inclusion, and culture initiatives that enhance employee experience
- Support the delivery of manager training on HR processes, policies, and people management best practice

Policy, Compliance & Governance
- Maintain and update HR policies, procedures, and employee handbooks
- Ensure compliance with UK employment legislation and HR best practice
- Support audits and ensure employee records and documentation remain compliant
- Monitor legislative changes and support the implementation of policy updates where required
- Deliver guidance and training on HR policies and processes
HR Systems & Continuous Improvement
- Manage and maintain HR systems, ensuring data accuracy and system effectiveness
- Identify opportunities to improve HR processes, reporting, and ways of working
- Support the implementation of new HR initiatives, systems, and projects
- Contribute to continuous improvement activities that enhance employee experience and operational efficiency
General
- Partner with the HR Director to deliver People priorities and ensure effective execution of HR initiatives across the business
- Build strong working relationships with managers and employees across the organisation
- Support ad hoc HR projects and business initiatives as required
- Promote a positive, inclusive, and high-performing culture across the business
Ways of Working
- This role is primarily based in our London office, with flexibility to work remotely where business needs allow.
- You will work closely with the HR Director, managers, and stakeholders across the business
- Operates as a highly collaborative role across local and global teams
Person Specification
Skills
- Proficiency in Microsoft Office, particularly Word, PowerPoint, and Excel
- Excellent verbal and written communication skills
- Strong attention to detail and accuracy
- Strong organisational and time management skills
- Ability to prioritise tasks and manage a varied workload
- Flexible and adaptable approach in a fast-paced environment
- Ability to work effectively under pressure
- Strong stakeholder management and relationship-building skills
- Ability to handle sensitive and confidential information with discretion
- Strong problem-solving and decision-making skills
- Comfortable analysing and interpreting people data and HR metrics
Requirements
Essential
- 3-5 years' experience in a broad generalist HR role, ideally at HR Officer or HR Advisor level
- CIPD Level 5 qualified or working towards
- Strong knowledge of UK employment legislation and HR best practice
- Experience managing employee relations cases, including disciplinary, grievance, absence, and performance management processes
- Experience supporting and coaching managers on HR matters
- Experience coordinating payroll processes and working with payroll providers
- Experience using HR systems (HiBob or similar)
- Strong organisational skills with the ability to manage multiple priorities
- Excellent communication and stakeholder management skills
- Ability to work independently while building strong relationships across the business
- Proactive, solutions-focused mindset
- High level of discretion and confidentiality
