HR Onboarding Coordinator
This is a fantastic opportunity to join our client, a global insurance firm, in their Leeds office as an HR Onboarding Coordinator on a 12-month fixed-term contract.
Working closely with HR, Talent Acquisition and hiring managers, you will be the key point of contact for candidates during the onboarding process, coordinating pre-employment screening, background checks, contracts, references and new joiner communications.
This is a highly organised, people-focused role where you will be responsible for keeping the process moving, proactively chasing outstanding actions and ensuring both candidates and managers are kept informed throughout.
Key Accountabilities
- Pre-employment screening: Coordinate background screening, right to work and compliance checks once a candidate has accepted an offer, escalating any issues where required. Support with reference checking and develop an understanding of DBS requirements and the legal and regulatory reasons behind screening decisions.
- Contract generation: Prepare and issue contracts, ensuring any specific adjustments are captured correctly and escalated to the wider HR team for approval. Contracts should be issued to candidates within 48 hours of receiving the initial notification.
- Candidate experience: Act as a key point of contact throughout onboarding, communicating regularly with candidates and being comfortable picking up the phone to answer queries, provide updates and resolve issues.
- Stakeholder management: Work closely with HR, Talent Acquisition and hiring managers, proactively providing updates, chasing outstanding actions and ensuring managers are prepared for their new starter’s first day.
- Onboarding administration: Complete a range of administrative activities including new joiner communications, adding candidates to the relevant systems, reference requests and maintaining accurate onboarding trackers.
- Tracking and reporting: Keep the onboarding tracker up to date, particularly for candidates with longer notice periods, and provide accurate reporting and updates to stakeholders.
- Support and troubleshoot: Quickly assess situations, identify the appropriate point of escalation and coordinate resolutions to keep the onboarding process on track.
- Audit and data integrity: Conduct audits of candidate files, identify any required changes and ensure records and onboarding information remain accurate and complete.
- Process improvement: Take ownership of the onboarding process and look for opportunities to improve the candidate and manager experience.

What We're Looking For
We are looking for someone who is highly organised, proactive and confident working in a fast-paced, high-volume environment.
You will ideally have:
- Previous experience in HR, Talent Acquisition, recruitment coordination or a similar administrative role.
- Strong communication skills and the confidence to speak directly with candidates and stakeholders over the phone.
- Excellent attention to detail and the ability to manage multiple onboarding processes and deadlines at once.
- A proactive approach to chasing outstanding information and keeping processes moving.
- A people-focused approach, with the ability to build relationships quickly and provide a positive candidate experience.
- Experience working with high volumes of administration and maintaining accurate trackers or records.
- Experience with Excel and Microsoft Office.
- Workday experience would be desirable.
- Experience working with a third-party background screening provider would be advantageous.
- An understanding of pre-employment screening, DBS or compliance checks would be beneficial, but is not essential as training will be provided.
- A degree or qualification in HR would be useful, but we are primarily looking for someone with the right communication skills, attitude and ability to take ownership.
