Purpose of the Role

This newly created role will provide administrative support across Human Resources, business operations, and finance, helping to ensure the smooth and efficient day-to-day running of the business. The role will report into the Group Finance Director and HR Director.

The successful candidate will support the full employee lifecycle, from recruitment and onboarding through to ongoing HR administration, including the management and maintenance of the HR system. The role will also coordinate IT requirements for employees and provide support with transactional finance activities.

Key Responsibilities

Human Resources

  • Prepare contracts of employment, offer letters, and associated employment documentation
  • Coordinate the onboarding process from offer acceptance through to induction.
  • Arrange and schedule inductions with hiring managers.
  • Prepare induction packs and starter documentation
  • Maintain the company's HR & ATS system
  • Manage the full employee lifecycle changes within the HR system, including starters, leavers, promotions, and contractual changes.
  • Produce HR reports and employee data as required by management.
  • Monitor probation review dates, contract changes, and other key HR administration activities.
  • Assist with recruitment administration, including preparing job descriptions, advertising vacancies, and coordinating internal role changes.
  • Coordinate interviews and liaise with candidates throughout the recruitment process.
  • Provide HR administrative support to managers across the business.
  • Maintain accurate and confidential employee records in accordance with GDPR.
  • Assist with HR projects and continuous improvement initiatives.
  • Ensure compliance with employment legislation and company policies.
  • Work alongside the Marketing team to advertise and promote vacancies.

Operations & IT Support

  • Coordinate IT requirements for new starters and leavers, including arranging laptops, mobile phones, equipment, user accounts, and system access across all offices.
  • Liaise with external IT providers regarding equipment, software, and technical support requests.
  • Maintain the company IT asset register.
  • Assist with business administration projects and operational improvement initiatives as required.

Transactional Finance

  • Process supplier invoices accurately and in a timely manner.
  • Process employee expense claims.
  • Support purchase ledger administration.
  • Raise sales invoices as requested by departments.
  • Assist with the administration of the generic Accounts email inbox.
  • Maintain accurate financial records and supporting documentation.
  • Support the Finance Director with day-to-day finance administration as required.
  • Undertake other transactional finance duties as appropriate.

General Responsibilities

  • Provide a professional, efficient, and confidential service across HR, Finance, and Operations.
  • Build positive working relationships with colleagues across all departments and office locations.
  • Effectively prioritise workload and consistently meet deadlines.
  • Maintain accurate records with a high level of attention to detail.
  • Support the continuous improvement of business processes.
  • Undertake any other duties appropriate to the role.

Person Specification

Essential

  • Previous experience in an administrative, business support, or finance role.
  • Experience supporting HR administration is desirable.
  • Excellent organisational and time management skills.
  • Strong attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office, particularly Outlook, Word, and Excel.
  • Ability to handle confidential information with discretion and professionalism.
  • Ability to work independently and collaboratively within a team.
  • Ability to manage competing priorities and work effectively under pressure.
  • A degree in Business Management or Human Resources is desirable.

Desirable

  • Experience using HR systems and maintaining employee records.
  • Experience in recruitment administration and onboarding.
  • Experience processing invoices, expenses, or purchase ledger transactions.
  • Experience coordinating IT equipment or liaising with external IT providers.
  • Knowledge of employment legislation and HR best practice.
  • Experience working within a professional services environment.
