About us:
This is an exciting opportunity to join the HR operations team at King’s College London. We are seeking to appoint a HR Coordinator that is seeking their next career move in Human Resources processing high volume contracts of employment or employee life cycle changes that are generated either through manager requests or absence instructions such as sickness or family friendly policies. You will be responsible for ensuring contractual correspondence to staff following employee lifecycle changes has been issued and stored appropriately on HR files/systems.
About the role:
You will have the opportunity to utilise your administrative and organisational skills completing HR administration across the employee lifecycle ensuring that candidates, employees, and managers always receive a standout service, and that all documentation and correspondence is accurate and presentable.
The successful applicant will grow and develop their HR and employment knowledge to advise managers and employees to ensure successful implementation of contractual changes. Key responsibilities include but are not limited to:
- Take responsibility for the end-to-end HR administration process ensuring that candidates, employees and managers always receive a standout service, and that all documentation and correspondence is accurate and presentable.
- Use communication platforms to respond to queries within agreed Service Level timeframes to both external and internal stakeholders.
- Develop a personal knowledge of HR best practice, including employment law and pay processes in accordance with King’s and external policies and procedures (e.g ACAS).
- Manage and prioritise large workloads with varying tasks and deadlines.
- Collaborate with support and assist other members of the wider HR, Finance and Corporate Services hub to ensure the best possible service to our stakeholders.
- Be meticulous in attention to detail, ensuring data accuracy on the HR Digital Services and employee records data storage platforms.
- Draft and issue template contractual correspondence to staff following employee lifecycle changes ensuring correspondence is stored appropriately on HR files/systems.
- Ensure the proper and accurate recording of adjustments to salary payments, arising from sick pay adjustments, maternity pay and other absences from work, as authorised by Human Resources/Payroll.
- Support on key projects and audits as required to continually improve and adapt the service.
- Build strong relationships with key stakeholders (across all sites at King’s).
- Responsible for meeting and exceeding SLA expectations set out by HR Service Level Agreements.
- Ensuring Right to Work rules have been met and liaising with the Compliance team on variation or changes of contracts.
- Operate flexibly within the department to meet peak and changing requirements throughout the year.
- Attend the office a minimum of two days a week, or additional days as per the requirements of the role.

This is a full time post (35 hours per week) and you will be offered a 12m fixed term contract.
About you:
To be successful in this role, we are looking for candidates to have the following skills and experience:
Essential criteria
- Strong attention to detail and with high levels of accuracy in delivery of work
- High level of interpersonal and communication skills and an ability to work effectively with a diverse range of people
- Experience working independently with limited supervision, including experience in prioritising and working under pressure to tight deadlines
- Strong Microsoft Office skills, particularly Outlook, Word and Excel
- Experience and ability to run high volume employment administration liaising with the employee and manager
- Previous experience as a HR /Payroll coordinator, advisor or consultant
- Experience with process improvement initiatives
Desirable criteria
- Knowledge of HEI or Clinical HR best practice with either Academic or Clinical policies
- HR systems/data bases
- CIPD Qualified
- Experience using a HR Ticketing system
