Location: London (hybrid, 2–3 days per week in the office) Reports to: HR Business Partner, UK & Ireland Scope: UK-focused, with selected responsibilities across EMEA
We are looking for an HR Specialist to own UK HR operations, improve how employees experience HR, and help build the processes that will scale across EMEA. This is a hands-on, blended role. On any given day you might onboard a new joiner in London, resolve an employee query on leave, and map a process for handover to our central HR team. You will be the first point of contact for UK employees on HR matters and a key partner to our HR Systems team, turning local practice into standardised processes built into Darwinbox and run centrally.

What you will do
UK HR operations and onboarding
- Own the end-to-end onboarding process for UKI hires, from offer acceptance to Day 1 readiness
- Manage core HR administration for the UK employee lifecycle
- Work with payroll, benefits, and other providers to make sure UK processes run smoothly and on time.
Employee experience and first-line HR support
- Act as the first point of contact for UK employee queries, resolving them directly where possible and escalating complex cases appropriately.
- Manage leave requests and discussions, including approvals, return-to-work arrangements, and related policy guidance.
- Lead improvements to HR SharePoint content and other employee-facing resources, making information easy to find and use.
- Contribute to engagement initiatives that strengthen culture and the employee experience.
Process standardisation and systems
- Document current HR processes, identify gaps and inconsistencies, and design standardised ways of working.
- Prepare processes for transition to our central HR team, including process maps, handover documentation, and clear ownership.
- Translate HR requirements into clear briefs for the HR Systems and technical teams, and partner with them to configure, test, and improve processes in Darwinbox.
- Monitor how processes perform after launch and drive continuous improvement.

What you should
- 4–6 years of HR experience, including hands-on HR operations or generalist work in the UKI.
- Proven experience documenting, standardising, or redesigning HR processes.
- Experience working with an HRIS, and with technical or systems teams on implementation or process changes.
- A systems mindset: you think in workflows, data, and scalability, not just individual cases.
- Strong judgement and discretion in handling employee queries and confidential information.
- Clear, confident written and verbal communication, with the ability to explain policy simply.
- Comfort managing competing priorities across operations, projects, and stakeholders.
