The Role
This role is a great opportunity for someone who enjoys HR administration and payroll, working within a busy HR Shared Services environment. Reporting to the HR Shared Services Manager, you will be responsible for processing payroll accurately and on time, supporting employee lifecycle administration, responding to payroll and HR queries, maintaining HR records and reports, and working closely with managers and external providers to deliver a high-quality HR service. The position also offers the chance to contribute to process improvements that enhance the efficiency and effectiveness of the HR Hub.
Responsibilities
- Deliver accurate and timely payroll processing across allocated payrolls using our HR & Payroll system and managed payroll provider, Moorepay.
- Provide a professional HR shared service, supporting activities such as new starter documentation, employee changes, payroll administration and HR data reporting.
- Act as a first point of contact for employee and manager queries relating to payroll, benefits and HR administration.
- Support continuous improvement initiatives that enhance service quality, efficiency and consistency across the HR Hub.
- Build effective relationships with internal stakeholders, managers and external providers to ensure an excellent shared service experience.
Payroll Provisions
- Take ownership of allocated payrolls, completing all payroll activities, including lockdown and clearance, in line with agreed monthly payroll schedules.
- Calculate and process payments including sick pay, holiday pay, statutory payments, joiners, leavers and other ad hoc payroll transactions.
- Produce and review monthly payroll reports to support payroll validation, authorisation and sign-off processes.
- Provide payroll calculations, pay breakdowns and guidance to employees and managers as required.
- Issue P45s and final payslips for leavers within agreed timescales.
- Lead payroll governance activities, including payroll sign-off meetings, data validation checks and post-payroll query analysis.
- Develop strong working relationships with Moorepay and promote effective use of employee and manager self-service functionality.
- Maintain a strong understanding of Moorepay, supporting system enhancements, process improvements and the development of user guidance.

HR Administration
- Manage the production of offer letters, contract variation packs, leaver documentation and the secure storage of employee records.
- Maintain HR templates, standard correspondence and associated process documentation to ensure consistency and compliance.
- Support audit activities and provide administrative assistance to internal stakeholders when required.
- Ensure confidential employee information is managed, stored and archived securely in line with GDPR requirements.
- Manage HR Hub ticket inboxes, meeting agreed service levels and maintaining a high standard of customer service.

- Support the administration and maintenance of company pension and benefit schemes.
- Provide factual guidance to employees regarding pension arrangements and scheme processes.
- Submit monthly pension contributions and maintain accurate pension records through provider portals.
- Process pension changes including joiners, leavers, contribution amendments and opt-in/opt-out requests.
- Support auto-enrolment, re-enrolment and annual benefit renewal activities, working closely with external providers and internal stakeholders.
Continuous Improvement
- Support HR and payroll projects that enhance service delivery and operational efficiency.
- Assist with the integration of newly acquired businesses into HR Hub processes and systems.
- Complete regular quality assurance and governance checks across payroll and HR administration activities.
- Review and improve standard operating procedures, templates and tools to support a consistent and high-quality shared service.
- Promote a culture of continuous improvement, identifying opportunities to simplify processes and improve the employee experience.

Health & Safety
- Promote a positive health and safety culture and encourage the reporting of incidents, observations and near misses.
- Support health and safety initiatives, including the use of reporting tools and participation in improvement activities.
- Identify opportunities to improve employee wellbeing and workplace safety across the business.
Qualifications
- In-depth understanding of payroll processes and essential requirements.
- Proficient in utilising payroll software, with training on Moorepay provided.
- Assessing employees' pension eligibility and experience creating and submitting pension uploads.
- Prior experience in payroll is essential, ideally with experience managing complex or high-volume workloads.
- Solid grasp of payroll legislation and statutory obligations.
- Exceptional accuracy, organisational skills, and the ability to meet tight deadlines.
- A strong commitment to confidentiality, compliance, and maintaining data integrity.
