HR / People Team Assistant – Hybrid / Part Time

Work pattern: Monday to Friday, 5hrs per day, 25hrs a week.

Pro rata salary: based on required skills and experience between £28,000- £30,000 (pro rata)

Location: Birmingham, Glasgow or Bristol

This is a hybrid role requiring weekly attendance at one of our offices in Glasgow, Bristol or Birmingham city centre locations.

We are specifically seeking applicants who are currently based in, or within a reasonable commuting distance of, one of these locations, as regular office attendance forms an important part of the role and team collaboration.

About The Role

We are looking for an organised, proactive and people-focused People Team Assistant to join our People Team. This role provides essential administrative support across the employee lifecycle, helping to ensure a positive employee experience and the smooth operation of day-to-day people activities.

The successful candidate will play a key role in supporting the People Team and wider business by managing a variety of administrative and coordination tasks. As such, exceptional attention to detail, a proactive approach, and excellent communication skills are essential. The role requires someone who can take ownership of their workload, identify opportunities to improve processes, and build positive working relationships with colleagues at all levels.

Key Responsibilities

Employee Administration

  • Maintain accurate employee records and HR systems, ensuring a high level of accuracy and attention to detail at all times.
  • Prepare employment contracts, offer letters, employment change documentation and other People Team correspondence.
  • Process employee lifecycle activities including onboarding, transfers, promotions, salary changes and offboarding.
  • Monitor and maintain compliance records, including right to work documentation, probation reviews and mandatory checks.
  • Support payroll and benefits administration activities as required.

Onboarding

  • Prepare and issue offer documentation and onboarding paperwork.
  • Liaise with hiring managers and candidates to ensure a smooth onboarding experience.
  • Proactively follow up on outstanding documentation and pre-employment checks.

People Team Support

  • Act as a point of contact for employee and manager queries via a team inbox, delivering a friendly, professional and responsive service.
  • Support People Team projects, initiatives and process improvements.
  • Prepare reports, presentations and people metrics using AI tools / Excel.
  • Organise meetings, maintain team calendars and take notes where required.
  • Assist with employee engagement initiatives and team events.
  • Identify opportunities to improve administrative processes and enhance the employee experience.

Compliance and Data Management

  • Ensure employee data is maintained accurately and confidentially.
  • Support internal audits and reporting requirements.
  • Produce accurate documentation and reports within agreed deadlines.
  • Handle sensitive information with discretion and professionalism.
  • Assist in maintaining People Team policies, procedures and guidance documents.

About You

We're looking for someone who is highly organised, enjoys working with people and takes pride in delivering high-quality work.

Essential Skills And Experience

  • Previous administration experience, ideally within a HR, People, Talent or business support environment.
  • Exceptional attention to detail and a commitment to accuracy.
  • A proactive and self-motivated approach, with the confidence to take initiative and manage priorities effectively.
  • Excellent written and verbal communication skills, with the ability to build positive working relationships across the business.
  • Strong organisational and time management skills.
  • Good working knowledge of Microsoft Office applications, including Outlook, Word, Excel and Teams.
  • Ability to handle sensitive and confidential information appropriately.
  • Strong customer service mindset with a willingness to help others.
