The Role
We are seeking a HR Shared Services Assistant to join our HR Shared Services team. This varied role, you will provide comprehensive administration and support services across a range of activities with exposure across the whole employee lifecycle. From everyday HR queries and projects, each day will be different; you will be the first point of contact for managers and colleagues providing first line advice and guidance around the HR processes. Key aspects of the role include updating and maintaining the HR system (Workday), working efficiently to produce high quality correspondence and documentation, and contributing to the review of automation of our processes. You will also work closely with our talented ER, Payroll, Resourcing and HR team.
The ideal candidate for this role will have a passion for providing a quality service to both internal and external stakeholders. A key attribute of the successful candidate will be high levels of attention to detail, a customer centric approach and experience of working with sensitive and confidential data. To be a success in this role, you will have previous administration experience and proven experience of using a range of MS packages and ideally Workday. This is a fantastic opportunity for someone who is looking to take their first step into a HR career or wanting to gain further HR experience. You will be expected to be able to work effectively and efficiently, moving through a very wide range of tasks, supporting the needs of the business as they arise. We work on a hybrid schedule, in the office twice a week.

Key Responsibilities
- Work with the HR Shared Services Team Leader in providing a HR administration service to all Dnata sites/employees and to ensure excellence in customer service
- Management of the full worker life cycle – from staffing to compensation – using the HR management system – (Workday)
- Modify and create organisational structures
- Support and review of the job change business processes
- Be proactive with change projects allocated by your manager to support delivery of the colleagues’ agenda which will collaboratively shape the future of the organisation as we continue to improve the function.
- Maintain the HR system and produce analysis reports for management as requested
- Take up references for all new joiners and respond to reference requests from other third parties, communicating with the HR team promptly where references may not be satisfactory
- Daily resolution for telephone and email Workday enquiries relating to processes, knowledge and requests.
- Provide general administrative support to the wider HR team (Compliance/ HRBP’s/ Regional Directors)
- Support with Line Manager training to help enable them to use Workday efficiently
- Password re-sets
- Produce a range of letters in all aspects of the business

Skills, Knowledge and Expertise
- Experience within a fast-paced working environment essential.
- At least 1 year HR Admin experience, ideally in a similar volume environment
- Knowledge and experience in Workday favourable
- Strong customer service skills are essential, and they must be comfortable with multi-tasking and working under pressure to meet deadlines.
- A good working knowledge of Microsoft Office packages, including Excel is essential for this role.
- The successful candidate will be an experienced administrator, extremely organised, resilient, and confident, with a strong attention to detail
- On occasion, travel to our Dnata sites
