Job Description
Position: HR Shared Services Specialist I, Benefit Operations
Position Reports to: HR Shared Services Manager, Compensation & Benefits
Job Description:
In this role you will join a fast-paced HR Shared Services team responsible for the day-to-day management of employee benefits administration management including processing transactions for employee separations and HR-related inquiries. However, working with and supporting team members in other global regions will occur. This role will manage individual cases and engage internal stakeholders (Management, Legal, Employee Relations, Human Resources, Payroll, Finance, etc.) as required.
We are looking for a candidate who is enthusiastic about their career in Human Resources, enjoys helping employees find answers to their HR related questions, and is interested in continuing to build upon their knowledge across all HR functions. A successful team member will be extremely detail oriented, flexible with continuous process/system changes, possess a problem-solving mindset, and enjoys creating order from ambiguity.
Essential Functions:
- Responsible for analyzing and answering escalated and complex HR-related queries and acts as liaison with contacts including local HR, COEs and other key stakeholders
- Serve as an escalation for tier one (first line employee support) for questions from employees, manager, executives and HR colleagues regarding HR procedures, processes and policies, with global consistency and local applicability
- Proactively maintain and administer accurate and timely HR data in the global HR System; input, update and reconcile data as required to ensure information is current and accurate.
- Provide support for a range of HR administrative processes supporting the employee lifecycle
- Manage benefits related administration throughout the employee lifecycle
- Work with data, report on our plans, investigate and reconcile discrepancies
- Craft, document, and maintain benefit administration processes
- Knowledge of EMEA benefits experience
- Understanding of standard regulations and compliance practices related to Benefit Plans
- Support global Benefits projects
- Actively build and develop the HR knowledge base to help employees quickly and easily find answers to their questions via self-service.
- Partner with other regional HR Shared Services teams to standardize, streamline and globalize HR business processes.
- Lead efforts to document, simplify and standardize HR business processes specific to the EMEA region.
- Suggest and participate in the development of HR Workday enhancements to enhance employee experience with the HR system.
- Proactively document new processes and or update missing steps within process documents, as needed.
- Proactively update business processes and process documentation to ensure accuracy, relevance, and consistency.
- Participate in ad hoc HR projects as directed by the HR Shared Services leader

Knowledge, Experience, And Skills:
- Possess a strong customer service orientation while maintaining a high level of integrity and confidentiality with each interaction
- Knowledge of HR policies, practices, procedures, laws, and system tools
- Strong communication, organizational, collaboration, documentation, and presentation skills
- Data analysis skills, including strong excel skills such as pivot tables and v-lookups (preferred)
- Innovation, analytical, and creative critical thinking skills
- Proven ability to manage confidential information
- Experience documenting business processes in a visual format (MS Visio preferred) as well as writing detailed business process documents for reference
- Experience leading business process improvement activities
- Ability to prioritize workload to complete assigned deliverables within the allocated timeline
- Proven experience leading business process improvement activities
- Clear evidence of effective decision making and judgment in day-to-day activity and stakeholder management
- Initiative-taking can-do attitude with ease at taking ownership of complex task or issues

Basic Qualifications:
- Extensive HR or HR Shared Services experience
- Experience in using HR Systems especially Workday
- Strong verbal, written interpersonal, and telephone communication skills are required
- Must possess strong Microsoft Office skills
- Experience with case management tools (especially ServiceNow) is highly desired
Preferred Qualifications:
- Previous experience in handling HR requests for EE data and benefits administration
- HR Qualification desirable (but not essential)
- Customer Service experience is preferred
