The role of HR Shared Services Team Leader at Twinings sits within the UK-based HR team reporting to the HR Business Partner, International Functions. There is a team of 4 direct and indirect reports, consisting of HR Coordinators and HR Advisors, who along with the Payroll Specialist, report directly into the HR Business Partner, International Functions.

The role is responsible for a shared service operation providing both transactional support (administrative and coordination) and employee relations advisory services for all UK HR related matters and to specified international markets and functions. The scope covers delivery of the full HR employee lifecycle against agreed service levels to ensure best practice, regulatory compliance, consistency in line with the TwO Values, the review of all HR policies and procedures and ensuring the development of the HR Shared Service Team.

In addition to this, you will also provide HR Generalist Advisory support to your aligned business units within TwiningsOvo. You will work closely with your stakeholders to lead on people-centric tasks such as recruitment, ER, performance management, contractual changes, OD and L&D.

When operating within your Team Leader responsibilities, there will be a strong emphasis on continuous improvement and enabling efficient delivery through systems and process enhancements and supporting the team to manage system projects already scoped and in progress.

You’ll lead a team of 4, regularly coaching them with their workload whilst supporting them on their day-to-day complexities as well as their development. In addition to your aligned stakeholders, you will also need to work closely with HR Generalist Managers and Business Line Managers to evaluate their needs and support in allocating resources from the shared service according to a structured and agreed framework to meet their requirements.

Key Responsibilities

  • Delivering a business-oriented Shared Service within an identified framework aligned to responsibilities associated with set piece/fixed HR initiatives and advisory support, transactional and operational ad hoc activity.
  • To partner with the aligned HR contacts within the business units and build effective relationships with relevant Line Managers and stakeholders in order to provide expertise in operational HR advice, enabling HR stakeholders to reduce their involvement in operational HR activities.
  • Provide proactive HR advice where needed, that will enable the business to achieve its objectives.
  • Support the HR stakeholders to deliver their HR agenda.
  • Provide updates to the HR Shared Services team to ensure the team have a wider awareness of the business.
  • Manage the Shared Service against a set of key measures and reports to track and assess the performance of the Shared Service against targets and milestones.
  • Contract with the UK based HR Managers and Business Line Managers to determine whether the baseline service delivery and service levels are being achieved.
  • Oversee operational activity and be a point of escalation for the team in regards to allocation of resource and complex tasks.
  • Manage the Shared Services HR related processes, procedures and systems to improve consistency, efficiency and professionalism in the key operational employee lifecycle activities.
  • Working alongside the HR Business Partner, lead the Shared Services Team to raise the collective performance, through a combination of direct coaching and the development of personal development plans to accelerate the development of overall team and individual performance.
  • In line with the HR Business Partner, oversee the HRSS budget and control of spend with suppliers and partners associated with the delivery of the Shared Service and where appropriate review cost and efficiency of these suppliers.
  • Oversee data integrity, maintain accurate and secure HR database of employee data and identify ways to improve the management and reporting of data in line with GDPR requirements.
  • Manage policy content control process review along with the periodic adhoc review of HR policies and processes aligned to legislation within the UK and some international markets.
  • Work with Audit to ensure that a proactive approach is adopted to ensure that safety of all employees, and prospective employee data, along with appropriate environmental policies are secure and implemented throughout the Shared Service.

Skills, Knowledge and Expertise

  • CIPD Qualified
  • A solid level of generalist HR experience with a thorough understanding of all aspects of HR policy and process.
  • Complex ER experience and case management exposure.
  • Experienced in the design and delivery of enhancements to service delivery – processes, systems, policies.
  • An effective team leader, driving operational efficiency within teams.
  • Solid knowledge of UK Employment Legislation, GDPR legislation and health and safety knowledge.
  • Knowledgeable on all dimensions of internal HR service delivery.
  • Broad HR operational problem-solving ability.
  • Strong people management skills.
  • Focussed on the coaching and development of others.
  • A natural collaborator.
  • Excellent interpersonal and communication skills; able to simplify the complex.
