WIILMA is seeking a Senior HR Administrator to help set up, define, and lead our administrative systems and processes. Help us build a solid foundation to support and empower our dedicated volunteer community!

Currently, we lack the formal HR administrative infrastructure needed to seamlessly manage our growing team. By setting up these vital systems and processes, you will directly enable us to attract, organize, and retain dedicated volunteers.
Ultimately, your work behind the scenes ensures our team runs smoothly, allowing WIILMA to focus on what we do best: tackling loneliness, fostering community cohesion through arts and culture, and advocating for individuals with seen and unseen disabilities. You will be the architect of the framework that keeps our community moving forward.
What are we looking for?
Essential Skills & Experience (Most Important)
- HR Infrastructure Setup: Proven experience designing, implementing, and documenting HR administrative systems, workflows, and policies from scratch.
- Strong HR Administration: Solid background in core HR operations, record-keeping, compliance, and managing volunteer or employee data securely.
- Process Mapping: Ability to turn ambiguous organizational needs into clear, structured, and user-friendly administrative procedures.
- Digital Literacy: Proficiency in setting up and managing tools within Google Workspace, Microsoft 365, or basic HRIS platforms.

Desirable Skills & Experience
- Volunteer Sector Knowledge: Familiarity with the unique dynamics, legalities, and best practices of managing and engaging non-profit volunteers.
- Project Management: Experience managing timelines for delivering new internal processes or training tracking frameworks.

Key Responsibilities
WIILMA is dedicated to tackling loneliness and isolation while increasing community cohesion through vibrant education projects around World music, arts, history, heritage, and culture. We also advocate passionately for individuals with seen and unseen disabilities. To support our mission, we are looking for a skilled Senior HR Administrator to build our administrative infrastructure from scratch.

Key Responsibilities
- Establish HR Admin Systems: Define, implement, and maintain robust volunteer administrative policies, processes, and structured procedures to support organizational scaling.
- Streamline Talent Acquisition Admin: Build a seamless, full-cycle recruitment and onboarding admin tracking process that sets new volunteers up for success.
- Performance & Experience Admin: Assist management in setting up simple appraisal, feedback, and tracking systems to boost volunteer engagement and retain talent.
- Operations & Compliance: Ensure smooth, professional, and secure processing of volunteer onboarding records, basic database management, and terminations.
- Training Coordination: Partner with department heads to organize, track, and oversee bookings for volunteer training plans and workshops.
What We Are Looking For
We need someone with a strong background in HR administration or operations who feels comfortable creating processes where none currently exist. If you are organized, structured, and passionate about community empowerment, we would love to have you on board!
