We are looking for a permanent HR Systems and Automation Lead to own our HR technology stack end to end, driving both operational excellence and adoption. This role combines system administration and integration ownership (HRIS + ATS + AI-Powered HR automation and employee support platform) with a clear mandate to increase the maturity of how the business engages with our HR platforms – rolling out underused modules, embedding new ways of working, reducing email traffic and automating manual processes.
You’ll be the go-to expert for Hi Bob, Lever and Harriet AI, responsible for keeping workflows efficient and data clean, while also acting as a change agent who drives uptake of Self Service, Compensation, Surveys, Feedback, Performance & Goals and 1-1s across the organisation.
Responsibilities
Own and Optimise HR Systems
- Take end-to-end ownership of the HRIS (HiBob), including configuration, data integrity, workflows, integrations, automation and adoption of available modules.
- Design and build self-service and automated workflows across the employee lifecycle, including onboarding, offboarding and employee data changes.
- Continuously review and improve workflows, fields and integrations as the business scales.
- Review data structures and create roles that support visibility and strengthen data integrity.
- Own and maintain the Applicant Tracking System (Lever), including configuration and integration with HiBob.
- Own data flows from HiBob to Pleo, Omnea and other Group systems to support a seamless candidate-to-employee journey.
Drive Adoption of HR Technology
- Maximise adoption of all HiBob features and modules across the organisation.
- Lead the rollout of the Compensation module.
- Drive adoption of Surveys through engagement and pulse survey programmes, embedding a regular cadence and turning insights into action.
- Increase usage of Performance & Goals by configuring performance cycles, goal-setting frameworks and supporting materials.
- Embed 1-1s as a consistent manager practice through templates, prompts, reminders and reporting, while supporting HR Business Partners with adoption coaching.
Manage Integrations and System Roadmap
- Maintain a roadmap of key business events, peak periods, critical moments and planned improvements.
- Act as the subject matter expert and product champion for the HR technology stack.
- Maximise adoption of new functionality across all HR systems.

Support Users, Documentation and Issue Resolution
- Support training and knowledge sharing across HR and key business stakeholders.
- Maintain clear and up-to-date documentation for core HR system processes.
- Act as the first point of escalation for system issues and data incidents.
- Work with vendors on fixes, upgrades and future roadmap activity.
- Manage the system improvement backlog and prioritise requirements alongside HR, IT and vendors.
Reporting and Analytics
- Own the design, production and continuous improvement of HR reporting across HiBob and connected systems.
- Build and maintain dashboards, reports and HR data packs for stakeholders.
- Track module adoption, workflow efficiency, employee lifecycle metrics and data quality.
- Develop regular data quality checks, audit controls and exception reporting.
- Translate HR data into actionable insights and recommendations that support decision-making and continuous improvement.
AI Implementation and Governance
- Work closely with IT on the implementation, configuration and ongoing improvement of Harriet AI, Claude and Copilot use cases for HR.
- Support the design, testing and rollout of AI-enabled HR workflows that improve self-service, reduce manual queries and improve consistency.
- Oversee content quality, knowledge sources and prompt guidance to ensure AI tools provide accurate and appropriate responses.
- Partner with IT and Information Security to establish governance around AI usage, access controls, escalation processes and data protection.
- Monitor adoption, performance and user feedback to continuously improve the employee experience.
International Data and Configuration
- Own global fields, country-specific configuration, permissions, compliance considerations and scalable HR data structures.
Essential Skills and Experience
- Advanced HiBob configuration experience with the ability to become the internal subject matter expert across all relevant modules
- Experience integrating HR systems with other business platforms
- Strong reporting and data analysis skills
- Understanding of AI tools within a workplace and HR environment
- Strong stakeholder management skills across HR, IT, business users and third-party vendors
- Process improvement and automation mindset
- Good understanding of data protection, system access controls and employee data confidentiality

Additional Information
- Although the role is hybrid, attendance at Titan offices will be required when necessary to support collaboration and delivery outcomes.
