HR Systems & Reporting Administrator
Location: Newcastle upon Tyne
Contract: Permanent
At Mayborn we are looking for someone to join our HR Administration team to work on a variety of duties across technology, data, payroll support and more!
This would be a great opportunity to join a busy HR team for a global organisation. You will support with the day to day administration and will have the opportunity to work on projects to transform technology and the way the department works on data and reporting.
What you will be doing:
HR Technology
- Act as the primary administrator for all HR technology ensuring all HR data is accurate and processes are timely and effectively managed delivering an optimised employee and Manager experience;
- Support the enhancement of HR processes utilising existing and new technology to drive efficiency, automation, improved reporting, and enhanced user experience;
- Partner with internal stakeholders and external providers on system implementations, updates, configurations, and issue resolution
HR Data & Reporting
- Own all internal and external people reporting ensuring robust data governance practices are in place to support accurate reporting and workforce analytics
- Develop reports, dashboards, KPI’s and insights that help HR colleagues and business leaders understand people trends and make well-informed decisions.
- Build regular monthly / quarterly reporting pack for Leadership to ensure:
- Analysis of key people metrics such as headcount, turnover, absence, recruitment, engagement, DE&I and Performance
- Consistent definitions for HR Metrics are used across the business

Payroll Processing Support
- Support Payroll Manager teams to prepare and validate key inputs prior to cycle closures for 3 biweekly and 8 monthly payrolls across 9 countries;
- Act as cover in Payroll Manager absence to ensure employees are paid accurately and on time
HR Invoice Management & Budget Support
- Work on invoice management for broader HR team, supporting Head of Shared Services with HR Budget management.
- Act as link to both Commercial Finance planning team and Payroll Manager to ensure zero payroll variances to people cost plan.
Compliance, Governance & Continuous Improvement
- Document and maintain HR processes, workflows, and policies to ensure consistency and clarity
- Ensure compliance with local legislation and internal policies across all HR activities
- Identify and contribute to process improvement initiatives within HR Operations
What skills and experiences you’ll need to ace this job:
- A Bachelor’s Degree and/or at least 1 year experience in HR Operations, Shared Services, HR Administration, or HR Analytics
- Strong reporting and analytical skills, with a passion and experience for turning data into clear, accurate and meaningful management information.
- Hands on experience administering or supporting more than one type of people system, such as core HRIS, recruitment, learning or performance management systems.
- A passion for data with proficiency in Microsoft Excel, Power BI or Tableau with the ability to bring data to life and tell a story
- Strong operational and administrative capability, with a focus on accuracy and consistency
- Ability to work in a structured deadline driven way with proven organisation skills and the ability to manage multiple task and competing priorities effectively
- Ability to handle sensitive and confidential information with discretion
- Strong communication and interpersonal skills, with the ability to engage a range of stakeholders
- A proactive approach to continuous improvement, with experience of identifying opportunities to solve problems and improve processes
- An understanding of the employee lifecycle and core HR processes
