Position Summary
Contiem is seeking an HR/Office Manager to support and manage the day-to-day running of the UK office. You will be responsible for creating a safe, welcoming, and efficient environment and working with vendors and team members on assigned responsibilities.
Essential Duties & Responsibilities
General Office Administration
- Implement and maintain health and safety policies and procedures, conduct risk assessments, develop and implement emergency response plans and evacuation procedures, and ensure compliance with relevant regulations. Ensuring office space is compliant with upcoming changes in Health & Safety Regulations.
- A Key Holder and emergency contact for the office.
- Source, negotiate, and manage contracts, leases, and relationships with suppliers, service providers, and contractors across all UK offices (currently Sutton & Bristol) — including office supplies, furniture, equipment, refreshments, utilities, IT/telecom services, and building maintenance and repairs — ensuring efficient, cost-effective service delivery.
- Oversee general travel and internal event logistics.
- Prepare detailed cost analysis and budget estimates for conferences, ensuring cost-effectiveness and financial accuracy.
- Organise, maintain, and update records related to office and facilities management and any other documents related to the role.
- Maintaining a plan for business continuity to deal with any adverse effects on our premises.
- Lead and coordinate the upcoming office move in early 2027, including sourcing suitable office premises, preparing the current office for relocation, managing suppliers and service providers, and overseeing the move through to completion.

HR Responsibilities
- Develop and implement local HR strategies, policies, and procedures in alignment with corporate goals.
- Maintain the UK entity’s employee handbook.
- Regularly review and adapt company policies in line with changing employment legislation to ensure compliance.
- Oversee the full recruitment lifecycle and collaborate with department heads on staffing needs.
- Onboard and off-board employees, arranging access for visitors, new-hires, etc., liaise with IT for new joiner set up and orientation.
- Manage employee relations, including conflict resolution and performance improvement.
- Identify training needs, develop training programs, administer training, and support career development.
- Maintain accurate HR records and prepare data analytics reports under Corporate HR guidance.
- Handle all employee and client personal data in line with UK GDPR / Data Protection Act 2018; treat sickness and health data as special-category data, keep it confidential, and ensure any transfer of UK employee data to US Corporate HR has an appropriate safeguard in place.
- Act as the UK sponsor-licence key contact: carry out and record right-to-work checks, meet Home Office record-keeping and reporting duties, and maintain compliance to protect the licence.
- Maintain holiday and absence records by logging annual leave and time-off requests, filing supporting documentation, and monitoring sickness trends.
- Action payroll operations, including salary processing, pension administration, deductions, and compliance with regulations.
- Coordinate and execute HR projects to drive employee engagement, operational excellence, and business-aligned outcomes by closely working with Corporate HR on assigned tasks.
- Manage the renewal process for independent contractor agreements, ensuring compliance and continuity of service.
- Client project onboarding, providing security clearance details.
- Other adhoc duties as assigned.

Experience And Skills
- Right to work in the UK.
- Bachelor's degree in a relevant field.
- Level 3 or above CIPD qualification or working towards one, or equivalent HR experience.
- Able to work in the office on a daily basis.
- Proven experience in office management and human resources management.
- Strong organisational and time-management skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Attention to detail, problem-solving skills, and the ability to multitask.
Preferred Skills & Qualifications
- Ability to work independently and as a part of a team.
- Ability to self-motivate and to take the initiative to make positive contributions towards the success of the company.
- Someone who has experience in office moves.

Work Hours & Location
This is a full-time position, from Monday to Friday, between 9 am and 5:30 pm with a one-hour lunch break. Hybrid working model: Monday to Thursday working in the office, Fridays working from home unless otherwise required.
