Summary
A key administrative role supporting the Group Health, Safety & Environment (HSE) function, ensuring accurate data management, document control, and effective coordination across Sofina Europe sites.
The Role
The HSE Administrator will provide comprehensive administrative and coordination support to the Group H&S Manager and Group Environment Manager. This is a 6-month fixed-term contract, with the role responsible for maintaining accurate HSE records and documentation, managing key systems and reports, and supporting governance meetings across the business.
Your Key Responsibilities
- Manage all site H&S and Environment data and statistics for Sofina Europe.
- Oversee document control across SharePoint, Teams, and all HSE systems.
- Maintain alignment of H&S standards, processes, and records.
- Plan and coordinate diaries for the Group H&S Manager and Group Environment Manager.
- Organise six-monthly H&S Governance meetings for each site.
- Update and manage the RIDDOR and HIPO tracker spreadsheet.
- Record minutes for key meetings including weekly, monthly, and governance sessions, and track resulting actions.
- Produce monthly H&S dashboard reports and period-end HSE CI reports.
- Manage and maintain the Safety Management System (SMS).

The Ideal Candidate
- Proven experience in an administrative role, ideally within a fast-paced environment.
- Strong IT skills, proficient in Microsoft Excel, PowerPoint, and Word.
- Excellent organisational and time management skills, with strong attention to detail.
- Confident communicator with the ability to work collaboratively within a large HSE team.
- Capable of handling sensitive information with discretion and professionalism.
- Proactive approach with the ability to manage multiple priorities effectively.
