About the Role
As an HR Administrator, you’ll provide essential assistance to our HR Consultants and play a key role in supporting our clients. You’ll bring a professional, proactive approach to a role where no two days are the same.
This is a fast-paced environment where organisation and accountability matter. You’ll be trusted to manage competing priorities, meet deadlines and deliver work to a consistently high standard, while bringing fresh ideas to help us improve how we work. As you develop, you’ll also have opportunities to build your career within HR.
Responsibilities
- Take clear and accurate notes during client calls and meetings, capturing key information, agreed actions and follow-up points for the HR Consultants.
- Prepare template letters and other HR documentation, ensuring documents are updated, amended, formatted and issued to a consistently high standard.
- Research emerging HR trends and keep up to date with developments in UK employment law and legislation, sharing relevant insights to support the HR Consultants and our clients.
- Support HR Consultants with drafting, reviewing and updating client policies and procedures to reflect their organisation and current requirements.
- Coordinate key administrative processes throughout the employee lifecycle, from onboarding new starters to managing employment changes and offboarding, ensuring each stage progresses smoothly.
- Keep client documentation and internal records accurate and up to date, ensuring information is stored and maintained consistently. You’ll also set up clients and manage the annual renewal process on BreatheHR, our partner HR system.
- Monitor the HR inbox, responding to or allocating queries as appropriate and ensuring messages and follow-up actions are handled promptly.
- Support payroll administration by collating and checking information and completing related administrative tasks accurately and on time.
- Support our client invoicing processes by preparing and maintaining accurate records and helping to ensure invoicing activities are completed promptly.
- Communicate professionally and effectively with clients and colleagues across all channels, upholding Loch’s values and commitment to exceptional client service in every interaction.
- Scan, file and organise documents as required, handling client information carefully and in line with agreed processes.
- Provide ad-hoc project support, working collaboratively across the team and identifying opportunities to improve our processes.

What We’re Looking for
- A confident communicator, both written and verbal, with an excellent telephone manner and a client-focused approach.
- Highly organised, with the ability to prioritise effectively and manage competing tasks, deadlines and stakeholders.
- Confident using Microsoft Office, including Word, Excel and PowerPoint; experience of BreatheHR or similar HR systems would be an advantage.
- Proactive, flexible and detail-focused, with the confidence to use your initiative and recommend process improvements.
- A positive, motivated team player who thrives in a fast-paced environment and takes pride in delivering excellent work.
- Previous HR Administrative experience is an advantage but not essential.
