Human Resources and Facilities Administrator

Location: Reading - This role generally works 3 days in the office and 2 days from home.

Description

We are looking for a Human Resources and Facilities Administrator to support the delivery of efficient HR services across processes, systems, records, and reporting. The role provides day-to-day administrative support across the employee lifecycle, while also contributing to the smooth running of the Reading showroom and wider facilities activities.

Working closely with HR colleagues and other stakeholders, you will help deliver a responsive, accurate, and professional service, including providing cross-cover for team members during periods of absence.

Main Tasks

  • Manage day-to-day HR queries through shared channels, including the HR mailbox, employee portal, SharePoint, and Teams, ensuring a professional and timely response.
  • Provide general administrative support across HR activities, including document preparation, record updates, and process coordination.
  • Support the consistent application of HR policies, procedures, and governance requirements.
  • Support the monthly payroll process by gathering and preparing input, liaising with relevant stakeholders, and responding to payroll queries.
  • Administer pension files and provide first-line support for pension-related queries.
  • Provide support for fleet administration, including fines, charges, and hire car coordination.
  • Contribute to the improvement and digitization of HR operational processes where appropriate.
  • Manage the facilities inbox, incoming and outgoing post, and courier activity.
  • Monitor and replenish office, kitchen, and meeting room supplies, including stationery, toner, and refreshments.
  • Support the upkeep of the office environment, including weekly routine checks and notices.
  • Undertake other reasonable duties consistent with the level of the role.

Experience and Knowledge Wanted

  • Experience handling demanding administrative tasks, including managing frustrations and issues professionally as they arise.
  • Knowledge of Microsoft 365, including Word, Excel, Outlook, SharePoint, Power Automate, Microsoft Forms, and Planner.
  • Strong organizational skills, with the ability to manage daily responsibilities alongside additional projects.
  • Excellent attention to detail and clear communication skills.
  • Ideally Maths and English at grade A-C (or equivalent).
  • An understanding of agile working and change would be valuable.
