Role Overview
The HR Executive is responsible for delivering end-to-end HR operations and providing comprehensive support throughout the employee lifecycle. The role involves managing onboarding and offboarding activities, performance management, employee engagement initiatives, HR administration, payroll support, and maintaining HR systems for both the UK and India teams. The HR Executive also acts as the first point of contact for employees on day-to-day HR matters while ensuring compliance with company policies and employment legislation.
Key Responsibilities
1. Induction
- Coordinate and conduct HR inductions for all new joiners based on their region and employment type.
- Schedule induction sessions and send calendar invitations to company email addresses.
- Coordinate with line managers to ensure client and project inductions are completed.
- Liaise with relevant internal teams to ensure new employees receive client credentials and system access promptly.
- Distribute joining kits to permanent employees.
- Ensure a smooth onboarding experience for all new starters.
2. Payroll Support
- Prepare and calculate monthly attendance data for payroll processing.
- Validate attendance information for:
- Scrumconnect UK
- Attifin
- Scrumconnect India
- Submit payroll information to the Finance team by the monthly payroll deadline.
3. Learning & Development Administration
- Manage employee enrolment and removal from the Udemy online learning platform.
- Conduct monthly audits to ensure all new starters and leavers are accurately reflected across learning platforms.
- Monitor completion of mandatory compliance training.
- Maintain training records and certificates within the HR shared drive.
- Process training and certification reimbursement requests following successful course completion.

4. Employee Benefits Administration
- Administer enrolment and removal of UK employees from the AXA Private Medical Insurance scheme.
- Coordinate benefit changes with external providers.
- Administer employee access to the Rewards Getaway platform in line with company eligibility.
- Manage employee enrolment and removal from the Rewards Getaway platform.
- Conduct monthly audits to ensure employee benefit records remain accurate.
5. HR Reporting & KPI Management
- Present monthly HR KPI presentations for leadership meetings.
- Produce reports covering:
- Starters and leavers
- Attrition
- Gender diversity
- Headcount
- Employee engagement activities
- Other HR metrics and statistics
- Support monthly All Hands meetings through attendance monitoring and coordination.
6. HR Policies & Compliance
- Maintain and update company policies, procedures and the Employee Handbook.
- Ensure HR documentation remains current and compliant with employment legislation.
- Publish updated policies on the company's shared drive and HR systems (Zoho and Teamscrumconnect).
7. Performance Management
- Coordinate annual performance review processes.
- Issue appraisal forms to employees and managers.
- Arrange performance review meetings with managers.
- Maintain appraisal records and trackers.
- Communicate salary review outcomes and issue salary increase letters following leadership approval.
8. Probation Management
- Coordinate probation review processes.
- Schedule probation reviews at appropriate milestones.
- Issue probation review documentation with employees and managers.
- Issue probation confirmation letters following successful completion.
9. Employee Offboarding
- Coordinate end-to-end exit formalities.
- Conduct exit interviews to understand employee feedback.
- Obtain completed exit documentation.
- Prepare relieving letters, end-of-contract letters and other employment documents.
- Coordinate clearance processes with relevant departments.
- Provide employment references where appropriate.

10. Employee Engagement
- Plan, organise and coordinate employee engagement initiatives including:
- Office celebrations (Diwali, Summer Party, Christmas Party and other events)
- Quarterly Mental Health sessions
- Employee wellbeing and engagement activities
11. HR Systems Administration
- Maintain employee information within HR systems in Zoho People and Zoho Sign.
- Update employee records including:
- Personal information
- Reporting lines
- Contact details
- Annual leave balances
- Sick leave records
- Support HR process improvements and Workday implementation activities.
12. HR Operations & Employee Support
- Act as the first point of contact for employee HR queries.
- Provide advice and support regarding:
- Leave
- Attendance
- Performance reviews
- Benefits
- Reimbursements
- Company policies
- Holidays
- General HR administration
- Deliver efficient day-to-day HR administrative support.
13. Office Attendance Management
- Coordinate mandatory office attendance communications.
- Notify employees regarding mandatory office attendance days.
- Monitor attendance records and conduct attendance audits.
- Follow up with employees who fail to attend mandatory office days.
