HR, People & Administration Coordinator

Location: Q&K Optical Head Office, Hessle, East Yorkshire (HU13 0EG)
Hours: 32.5 hours per week (with flexibility to discuss working pattern)
Salary: Competitive, dependent on experience

Q&K Optical owns and operates eight Boots Opticians franchises, making us the largest Boots Opticians franchise group in the UK. With further expansion already planned, we’re continuing to grow, invest and create opportunities for exceptional people.

This role starts as a HR, People & Administration Coordinator, but we’re looking for someone who wants much more than that. As our business grows, so will this position. We see this becoming a key role within the company, with genuine opportunities to develop your responsibilities and career.

The Role

You’ll become the central point of contact for all things people-related across our business of approximately 87 colleagues, supporting our eight stores and working directly alongside our three directors.

No two days will look the same. One day you could be organising rotas and recruitment, the next supporting an HR investigation in one of our stores, preparing payroll or ensuring employee records are fully compliant.

This is a role where you’ll genuinely make a difference to our people and our business every single day.

Your responsibilities will include:

  • Managing colleague rotas across the business
  • Coordinating annual leave and absence management
  • Supporting payroll preparation and ensuring payroll information is accurate
  • Coordinating optometrist and locum cover
  • Managing recruitment from advertising through to onboarding
  • Preparing contracts, offer letters and employment documentation
  • Maintaining accurate employee records using our HR system
  • Monitoring compliance with employment legislation and company policies
  • Recording sickness, reviews, training and performance documentation
  • Supporting disciplinary, grievance and investigation processes
  • Attending management meetings and providing HR updates where required
  • Travelling to stores when required to support managers and colleagues
  • Providing day-to-day support to colleagues across the business
  • Working closely with the directors to continually improve our people processes as the business grows

Who we’re looking for

We’re looking for someone who genuinely enjoys working with people.

You’ll be approachable, positive and calm under pressure. You’ll be naturally organised, love planning ahead and take pride in keeping everything running smoothly.

You’ll also be comfortable working independently. Our directors are regularly out visiting stores and attending meetings, so you’ll need the confidence to manage your own workload, prioritise effectively and keep everything moving without needing constant supervision.

You’ll be someone who never walks past something that could be improved.

Ideally you’ll have:

  • Previous administration, HR or people management experience
  • Excellent organisational skills
  • Outstanding attention to detail
  • Strong communication skills
  • Confidence handling confidential information
  • The ability to prioritise multiple tasks
  • A proactive attitude and willingness to take ownership
  • Good IT skills and confidence learning new systems
  • A full UK driving licence and access to a vehicle, as occasional travel to stores will be required

Previous HR experience is desirable but attitude, organisation and the right personality are equally important.

Working hours

The role is based on 32.5 hours per week, although there is flexibility around how these hours are worked for now. Full-time hours option can be discussed as we head to expansion.

The only requirement is that you’ll be available from 8:00am Monday to Friday, as this is when the business needs HR support most for sickness calls, rota changes and urgent staffing matters.

Beyond this, we’re happy to discuss a working pattern that works for both you and us. As the business continues to expand, there may also be opportunities for the role to increase in hours if that’s something you’d be interested in.
