HR Assistant
Salary: up to £35,000 per annum
Contract Type: Temp - Perm
Location: Newton Aycliffe
Hours: Full Time (flexible hours)
Job Purpose
The HR Assistant provides efficient administrative support to the Human Resources function, ensuring employee records are maintained accurately, HR processes are delivered professionally, and managers and employees receive timely support across the employee lifecycle.
Key Responsibilities
Recruitment & Onboarding
- Support recruitment activities, including advertising vacancies, scheduling interviews, and communicating with candidates.
- Prepare offer letters, contracts of employment, and new starter documentation.
- Coordinate pre-employment checks, including right-to-work documentation and references.
- Organise and support induction programmes for new employees.
HR Administration
- Maintain accurate employee records and HR systems.
- Process changes relating to starters, leavers, promotions, salary amendments, and contractual changes.
- Produce HR documentation including letters, reports, and meeting notes.
- Monitor probation periods and remind managers of review dates.

Employee Support
- Respond to routine HR queries from employees and managers.
- Assist with absence management administration, including recording sickness and maintaining absence records.
- Support disciplinary, grievance, and capability processes by arranging meetings and taking notes where required.
- Maintain confidentiality when handling sensitive employee information.
Learning & Development
- Coordinate employee training bookings.
- Maintain training records and compliance matrices.
- Assist with mandatory training reporting.
Compliance
- Ensure HR practices comply with UK employment legislation and company policies.
- Support GDPR compliance by maintaining confidential personnel records.
- Assist with HR audits and reporting requirements.

General Duties
- Produce regular HR reports and management information.
- Support HR projects and continuous improvement initiatives.
- Provide administrative support across the wider business as required.
- Carry out other reasonable duties appropriate to the role.
Person Specification
Essential Qualifications
- GCSEs (or equivalent) including English and Mathematics.
- Working towards or willing to study a Level 3 or Level 5 HR qualification (e.g. CIPD) is desirable.
Essential Experience
- Previous HR administration experience.
- Experience using Microsoft Office (Word, Excel, Outlook).
- Experience maintaining confidential records.
- Excellent organisational and time management skills.
