Role Purpose

We are looking for an organised, proactive and people-focused HR Coordinator to join our HR team.

This is a varied, hands-on role providing high-quality HR support across the employee lifecycle. The HR Coordinator will act as a key point of contact for employees and managers, ensuring HR processes are delivered accurately, efficiently and consistently while providing a positive employee experience.

Working closely with the Head of HR and wider management team, the role will support recruitment, onboarding, employee relations, HR administration, absence management, employee engagement, HR reporting and continuous improvement.

This role would suit an experienced HR Administrator or HR Coordinator looking to broaden their HR experience and develop further within a generalist HR environment.

Key Responsibilities

HR Administration & Employee Lifecycle

  • Provide comprehensive HR support throughout the employee lifecycle, from recruitment and onboarding through to changes in employment and leavers.
  • Prepare contracts of employment, offer letters, contractual variation letters and other HR documentation.
  • Maintain accurate and confidential employee records and HR systems.
  • Process new starters, leavers, salary changes, promotions, transfers and other contractual amendments.
  • Ensure right-to-work checks and other pre-employment documentation are completed accurately and within required timescales.
  • Maintain employee files in accordance with data protection requirements and internal policies.
  • Support probationary review processes and ensure appropriate documentation is completed.

Recruitment & Onboarding

  • Coordinate recruitment activity, including advertising vacancies, arranging interviews and liaising with candidates and managers.
  • Support managers throughout the recruitment and selection process.
  • Prepare offers of employment and coordinate pre-employment checks.
  • Manage the onboarding process to ensure new employees receive a professional and welcoming introduction to the business.
  • Support induction activities and monitor completion of required onboarding documentation and training.

Employee Relations

  • Provide first-line HR guidance to managers and employees on routine HR matters, policies and procedures.
  • Support the Head of HR with employee relations matters including absence, disciplinary, grievance, performance and capability processes.
  • Attend formal and informal meetings as required and produce accurate meeting notes and documentation.
  • Prepare letters and supporting documentation relating to employee relations cases.
  • Maintain accurate case records and ensure agreed actions are followed through.
  • Escalate complex or higher-risk matters appropriately.

Absence & Wellbeing

  • Support the effective management of short- and long-term absence.
  • Monitor absence levels and highlight trends or areas requiring management attention.
  • Coordinate return-to-work documentation, welfare meetings and Occupational Health referrals where appropriate.
  • Support wellbeing initiatives and help promote a positive approach to employee health and attendance.

HR Systems, Reporting & Payroll Support

  • Maintain accurate HR system data and complete regular data audits.
  • Produce routine HR reports and management information, including absence, turnover, headcount, recruitment and other people metrics.
  • Provide accurate employee information to support payroll processing and resolve payroll-related HR queries where required.
  • Monitor key HR dates including probation reviews, fixed-term contracts and other employee lifecycle milestones.
  • Assist with the development of HR dashboards and reporting.

Policies, Compliance & Continuous Improvement

  • Support the development, review and implementation of HR policies, procedures and documentation.
  • Ensure HR processes are followed consistently and remain aligned with current employment legislation and good practice.
  • Identify opportunities to improve HR administration, systems and processes.
  • Support HR projects and business initiatives as required.
  • Assist with audits and compliance activity relating to HR documentation and employee records.

Employee Engagement

  • Support employee engagement, communication and recognition initiatives.
  • Assist with employee surveys and the coordination of resulting actions.
  • Support internal events and wider people initiatives.
  • Build positive and professional working relationships with employees and managers across the organisation.

Person Specification

Essential

  • Previous experience within an HR Administrator, HR Coordinator, HR Assistant or similar HR role.
  • Good understanding of HR processes and the employee lifecycle.
  • Experience of producing HR documentation and maintaining employee records.
  • Experience using HR systems and Microsoft Office, particularly Excel, Word and Outlook.
  • Excellent organisational skills with the ability to manage competing priorities.
  • Strong attention to detail and a high level of accuracy.
  • Confident written and verbal communication skills.
  • Ability to handle sensitive and confidential information professionally.
  • Approachable, professional and able to build effective working relationships at all levels.
  • Comfortable working in a fast-paced, operational environment.
  • Able to work independently while recognising when matters should be escalated.

Desirable

  • CIPD Level 3 qualification or currently working towards a CIPD qualification.
  • Experience supporting employee relations cases.
  • Experience producing HR metrics and management information.
  • Previous experience within a multi-site, manufacturing, logistics, engineering or operational environment.
  • Knowledge of current UK employment legislation.

Working Arrangements

This is a full-time, fully onsite position. The successful candidate will therefore be required to work from the site on a full-time basis.

Salary

Up to £35,000 per annum, dependent upon experience and qualifications.
