HR Operations Administrator
Contract: 6-month contract
Location: Hayes, Uxbridge
Working Hours: 37.5 hours per week
Working Pattern: Hybrid – 3 days in the office / 2 days remote
Future Opportunity
There is strong potential for the successful candidate to be offered a permanent position following the initial six-month contract, subject to performance and business requirements.
The Opportunity
We are looking for an organised, detail-focused HR Operations Administrator to join an established HR Operations team within a large, professional organisation.
This is a hands-on HR administration role covering the full employee lifecycle, from onboarding and internal changes through to payroll administration, employee records, and leavers.
You'll play an important part in ensuring HR data, documentation, and processes are accurate, timely, and compliant, while providing a high-quality service to employees and the wider HR team. Alongside the day-to-day responsibilities, you'll also have the opportunity to contribute to HR projects, systems improvements, and process enhancements, making this a particularly good opportunity for someone looking to develop their career within HR Operations.
Key Responsibilities
HR Operations & Employee Lifecycle
- Process employee information and documentation relating to new starters, internal moves, and leavers.
- Maintain accurate and up-to-date employee records throughout the employee lifecycle.
- Prepare employee letters, contracts, and other HR documentation as required.
- Maintain electronic employee files, including scanning, uploading, and correctly recording documentation.
- Track and manage documentation relating to sickness, maternity, paternity, and other statutory employee information.
- Support HR Business Partners with new employee induction and onboarding activities.

HR Systems & Data
- Upload, maintain, and validate employee information within Oracle HR and other HR systems.
- Ensure HR information is updated accurately and within agreed timescales.
- Maintain high standards of data integrity, confidentiality, and GDPR awareness.
- Identify discrepancies or missing information and take appropriate action to resolve them.
- Support HR systems improvements and wider HR process enhancement projects.
Payroll Administration
- Prepare and validate employee information required for payroll.
- Ensure payroll changes are accurately processed ahead of agreed cut-off dates.
- Respond to employee payroll queries and escalate more complex issues where appropriate.
- Work closely with relevant stakeholders to ensure employee changes are reflected correctly.
Reporting & Compliance
- Produce regular and ad-hoc HR reports covering areas such as headcount, absence, and performance.
- Support HR Business Partners with accurate people data and management information.
- Assist with audit requirements and ensure HR processes and records meet appropriate compliance and control standards.
Employee Support
- Act as a first point of contact for employee queries relating to areas including:
- Contracts and employment documentation
- Absence and leave
- Payroll
- HR policies and processes
- Resolve straightforward queries directly and escalate more complex matters to the appropriate HR Business Partner.
- Provide a responsive, professional, and customer-focused HR service.

What We're Looking For
We're looking for someone who enjoys HR administration, takes pride in accuracy, and is comfortable working with employee data and systems.
Ideally, you'll bring:
- Previous experience within HR Administration, HR Operations, People Operations, or a similar HR support role.
- Experience supporting processes across the employee lifecycle.
- Strong organisational skills and excellent attention to detail.
- Confidence working with high volumes of sensitive and confidential employee information.
- Previous experience using an HRIS / HR system.
- Experience with Oracle HR would be advantageous but isn't essential.
- Intermediate Excel skills and confidence working with HR data and reports.
- Strong written and verbal communication skills.
- A customer-focused approach and commitment to providing excellent internal service.
- The ability to manage competing priorities and work effectively during busy periods.
- A collaborative approach and willingness to contribute to continuous improvement.
