Office Manager & HR Specialist (Maternity Cover)

Central London | Full Time | Fixed Term

Our client is a fast-growing pharmaceutical company operating in the women's health space, part of a larger international pharma group with a presence in over 50 countries. As they continue to build their UK presence, they are looking for an Office Manager & HR Specialist to join on a maternity cover basis.

This is a varied, hands-on role covering both office management and HR administration for a small, agile UK team. You will keep the office running smoothly day to day while supporting the full employee lifecycle, working closely with the General Manager and leadership team.

The Role

Office Management

  • Oversee day-to-day office operations: supplies, equipment, filing, facilities, and office moves
  • Main point of contact for suppliers, service providers, building management, and IT support
  • Manage office policies, service contracts, renewals, subscriptions, licenses, and memberships
  • Coordinate meetings, events, travel, accommodation, and training logistics
  • Support health and safety compliance: risk assessments, fire safety, first aider and Fire Marshal coordination, DSE actions
  • Provide administrative and operational support to the GM and leadership team, including invoice/PO support and basic budget tracking

Human Resources

  • Support recruitment and the full employee lifecycle: job descriptions, adverts, screening, interviews, offer letters, contracts, onboarding, and offboarding
  • Maintain accurate employee data, benefits, and payroll-related records
  • Support HR documentation and compliance, including GDPR, data retention, and relevant pharmaceutical SOP/compliance requirements
  • Manage HRIS processes and support annual performance reviews
  • Coordinate training and development, tracking participation and feedback
  • First point of contact for HR queries; support ER administration (probation, sickness absence, occupational health, disciplinary, and grievance documentation)
  • Support employee engagement and internal communications

What You'll Bring

  • Minimum 2 years in an HR/administrative role
  • Strong organizational, communication, and time management skills
  • High attention to detail and discretion with confidential information
  • Proactive, adaptable, able to manage competing priorities
  • Confident and approachable with strong interpersonal skills
  • Proficient in Microsoft Office and Microsoft 365; comfortable with HR systems
  • Understanding of HR compliance, GDPR, and employee data protection
