Job Overview
To work as a member of the Gastroenterology Inflammatory Bowel Disease administration team, focusing on the day to day running of the service. Manage and triage the IBD Advice Line to include the collection of patient records and details of requests to be passed to the nursing team. Book and manage the IBD nurse clinics, checking patients in and out, and providing outcomes on CareFlow. Liaise effectively with other clerical staff, and communicate with patients and their relatives. Undertake general clerical duties associated with the smooth running of the administration department, liaising with other departments as necessary. As well as dealing with requests to access health records, typing letters and reports, and note or minute taking. Provide excellent customer care which may include communication with distressed and anxious patients and relatives, treating them with tact and empathy. Ensure the professional image of the Trust is upheld at all times.
Main duties of the job
Knowledge
- Working knowledge of relevant hospital systems (CareFlow, ICE, EDMS)
- Full working knowledge of Microsoft Office (Outlook, Email, Word, Excel)
- Knowledge of the Trusts policies and procedures
- Strong understanding of patient confidentiality and data protection (GDPR)
- Understanding of medical terminology.
Experience
- Experience of working in the NHS or similar organisation
- Previous administrative experience in dealing with telephone enquiries, appointment bookings, office administration.
- Experience of working in a multi-disciplinary or busy team environment.
- Experience of working under pressure.
- Good attention to detail and completion of tasks to deadlines.
Skills
- Excellent customer care skills to support a positive patient experience in an articulate and confident manner, both face to face and on the telephone.
- Excellent organisational skills and meticulous attention to detail.
- Must work using own initiative and be able to work independently in own role.
- Excellent time and task management skills in order to respond to the demands of the post.
- Excellent IT skills and proficient in spreadsheet, databases and hospital IT systems.
- Flexibility to take on additional tasks as and when required.

Detailed Job Description And Main Responsibilities
- Typing dictations as required, with the support of other typists
- Processing and sending out clinical letters.
- Contact with patients, triaging telephone calls, recording information on spreadsheets if patient needs a call back from Nurses.
- Answering patient queries via email, and calling patients to answer admin queries.
- Keeping the IBD biologics clinic spreadsheet updated
- Potential bookings of rooms or pods for telephone clinics.
- Monitoring of Outlook inboxes. Processing urgent emails in a timely manner.
- Provide administrative support to the multidisciplinary team meeting. Taking MDT minutes where necessary.
- Sending information packs to patients ahead of appointments.
- Actioning outcome forms where needed/sending them on to the email inbox for telephone clinics.
- Passing Fibroscan reports that come in the post to the relevant Nurse who has requested.
- Prepping and ensuring the patient notes have arrived to the outpatient clinic.
- Retrieve phone messages and emails from the IBS specialist nurse advice line and accurately transcribe into a database/patient record.
- Awareness that communication with patients may be impaired by stress and anxiety due to the psychological burden of living with a life-long condition.
- Add telephone advice line into EPR Powernote.
- Booking relevant appointments using CareFlow. Recording appointment outcomes on CareFlow inline with Trust deadlines.
- Manage telephone enquiries from a variety of sources including patients, clinicians, other clerical staff, ward staff and GP’s.
- Manage pharmacy and biologics information for patients on medication. Update biologics Excel spreadsheet with new patients’ information.
- The post holder will undertake any duties which may be reasonably regarded within the nature, duties, and responsibilities and grade of the post as defined, subject to the provision that appropriate training is given.

Essential criteria
- Advanced keyboard and computer skills (Microsoft office)
- Good general education including GCSE in Maths/English (or equivalent)
Desirable criteria
- Patient Administration System (PAS) training
Work Experience

- Communicating with a broad range of individuals at all levels
- Use of PC/database packages including Excel
- Previous communication and telephone skills
Desirable criteria
- Previous NHS experience or a similar organisation
- Knowledge of patient pathway
- Previous experience dealing with appointment bookings and general administration
