IFA Administrator/Client Services Associate
Location: Aberdeen

Are you looking to take the first step in your professional career? We are recruiting for a Client Services Associate to join a growing and dynamic private wealth team. This is an excellent opportunity for a school leaver, college leaver, or graduate who is keen to build a career within financial services and wealth management.
You will provide administrative and client service support to financial advisers, helping to deliver an outstanding client experience while developing valuable industry knowledge and skills.
The Opportunity
Working as part of a collaborative client services team, you will support both existing and new clients throughout their financial planning journey. The role offers exposure to a wide range of wealth management activities and provides an excellent foundation for those seeking a long-term career in financial services.
Successful candidates may gain experience across a number of operational and client service functions, allowing for broad professional development and progression opportunities.
Key Responsibilities
- Process payments, withdrawals, and account transactions across a range of investment products.
- Monitor account activity, cash reconciliations, and outstanding fees.
- Support the transfer of client investments and liaise with providers and colleagues to ensure timely completion.
- Request and analyze information from financial institutions and prepare documentation for financial planning teams.
- Process client change requests, including updates to personal and banking details.
- Produce client reports, valuations, performance summaries, and transaction statements.
- Assist with the processing of new business applications.
- Support account closures and administration relating to deceased estates.
- Build effective relationships with third-party providers and internal stakeholders.
- Ensure client communications are accurate, professional, and issued within agreed timescales.
- Manage incoming correspondence and allocate appropriately.
- Maintain accurate records and documentation in line with regulatory requirements.
- Contribute ideas to improve operational processes and efficiencies.
- Support a culture of excellent client service and continuous improvement.

About You
We are looking for someone who is organized, detail-oriented, and eager to learn.
Skills & Attributes
- Excellent attention to detail and accuracy.
- Strong organizational and time management skills.
- Customer-focused approach with a commitment to delivering exceptional service.
- Proactive attitude and willingness to take initiative.
- Strong written and verbal communication skills.
- Adaptable and able to work effectively in a changing environment.
- Good working knowledge of Microsoft Office, particularly Word and Excel.

Experience & Knowledge
- Previous client service or IFA administrative experience is advantageous but not essential.
- An interest in financial services, wealth management, or investments would be beneficial.
- Understanding of financial services administration, settlements, or transfers would be desirable.
Qualifications
- Numeracy and literacy skills to A-Level, Higher, or equivalent standard.
- Suitable for school leavers, college leavers, and graduates.
- Candidates studying towards, or interested in pursuing, professional financial services qualifications will be viewed favorably.
