IFA Administrator
Location: Nottingham
Salary: Up to £32,000
Job Type: Permanent
The Opportunity
Our client is an established financial planning business seeking an experienced Client Services professional to join their team in Nottingham.
This is a client-focused role where you will take ownership of a portfolio of clients, acting as a key point of contact and ensuring they receive a first-class service throughout their relationship with the business.
You will work closely with Financial Planners, technical teams and, where appropriate, clients’ legal and tax advisers to ensure advice and planning recommendations are implemented efficiently.
Key Responsibilities
- Manage a portfolio of clients and act as the first point of contact for service enquiries.
- Build and maintain strong, trusted client relationships through telephone, email and face-to-face contact.
- Take ownership of client queries, ensuring they are resolved promptly and professionally.
- Organise client and planner meetings and coordinate the required documentation.
- Gather and maintain accurate client information and ensure CRM records are kept fully up to date.
- Prepare and coordinate financial planning, cashflow and portfolio review documentation.
- Implement planning recommendations and post-meeting actions.
- Liaise with Financial Planners and technical teams to ensure a comprehensive client service.
- Identify and chase outstanding information required to progress client cases.
- Ensure post-meeting notes and client correspondence are completed to a high standard and within agreed timescales.
- Maintain accurate client files in line with compliance requirements.
- Keep up to date with relevant legislation and follow all regulatory and compliance procedures.

About You
Our client is looking for someone who is genuinely passionate about client service and takes ownership of delivering a positive client experience.
You will ideally be:
- Highly organised, methodical and detail-oriented.
- Have Wealth Management/Financial Planning administration experience.
- Confident communicating with clients both verbally and in writing.
- Comfortable managing multiple priorities and working to deadlines.
- Proactive, solutions-focused and able to use your own initiative.
- Able to take ownership of client cases and see actions through to completion.
- Professional and confident when dealing with HNW clients and other professional advisers.
- Accurate and efficient, with a strong understanding of the importance of compliance.
- Comfortable working independently while also supporting colleagues when required.
