Job Title: IFA Administrator

Location: Bridgend, South Wales

Basic Salary: Up to £33,000

Hours: Full-time hours across a 4-day working week, Monday–Thursday, 8:30am–5:30pm. Friday off.

A well-established and growing financial planning firm based in Bridgend, South Wales, with a strong reputation for delivering personalised, holistic financial planning. The business is highly client-focused, taking a genuine interest in understanding each client's goals and providing clear, straightforward advice across areas including retirement, pensions, investments, cashflow planning, and estate planning.

As an IFA Administrator, you will play a key role in supporting the smooth and efficient running of the business, providing professional administrative support to clients and the wider team, as well as assisting with general office administration.

This role will suit someone who enjoys administration and is looking to build a long-term career in an administrative position within a friendly, caring, and professional firm.

Working Hours

  • Full-time hours across a 4-day working week
  • Monday–Thursday, 8:30am–5:30pm
  • Friday off
  • Hybrid working– 3 days in the office, 1 day working from home

Responsibilities

  • Deal with enquiries from clients and third parties, ensuring a professional and excellent standard of service at all times
  • Maintain client paper and electronic back-office files to a high standard, ensuring client records are kept up to date
  • Manage incoming and outgoing post
  • Maintain the office diary and book appointments for clients
  • Prepare client meeting packs, including updating the system with returned client information
  • Ensure 'Know Your Client' information has been obtained and updated within the relevant client file
  • Assist with building new Lifetime Cash Flow models and pass these to the Paraplanner for checking and additions
  • Manage Letters of Authority, ensuring required policy information is received in a timely manner and policy details are kept up to date
  • Assist the Financial Planners with any administration required in preparation for meetings and/or providing advice
  • Complete simple reports and compliance letters
  • Check and reorder office supplies and stationery as required
  • Ensure all supporting documentation is maintained in accordance with company procedures
  • Adhere to all regulatory and compliance requirements

Essential Skills and Experience

  • A minimum of 1.5 years' experience as an administrator within a financial planning firm
  • Strong administrative skills, with good written communication and letter-writing ability
  • Good understanding of compliance procedures and record-keeping requirements within a financial services environment
  • Excellent organisational and time-management skills
  • Excellent attention to detail, with the ability to use initiative
  • Excellent communication and interpersonal skills, with the ability to communicate confidently with clients and colleagues at all levels
  • Strong IT skills, with good knowledge of Microsoft Office systems
  • Ability to work independently while also contributing positively to a collaborative team
  • Supportive and approachable manner, with a willingness to assist colleagues and contribute to the wider team
