Import Department Administrator
Bunzl Greenham – Port Talbot
Salary: £30,000 per annum
Position: Full-time | Permanent
This is an excellent opportunity for an experienced administrator looking to develop their career within imports, purchasing, logistics, or supply chain. You’ll play an important role in ensuring goods move smoothly from suppliers through to our business, while keeping purchase orders, shipment information, and import documentation accurate and up to date.
Working closely with our Import and Purchasing teams, suppliers, freight forwarders, and internal departments, you’ll help keep orders on track and ensure potential delays or supply issues are identified and dealt with quickly.
What You'll Be Doing
- Providing day-to-day administrative support to the Import and Purchasing teams.
- Raising, amending, and maintaining purchase orders on our ERP system.
- Monitoring open purchase orders and ensuring information is accurate and up to date.
- Liaising with suppliers regarding order confirmations, amendments, production updates, and delivery dates.
- Tracking inbound shipments and communicating with suppliers, freight forwarders, and logistics providers.
- Chasing outstanding order updates, shipping documentation, and delivery information.
- Maintaining accurate records of products, suppliers, orders, and shipments.
- Uploading and managing invoices, packing lists, shipping documents, and customs paperwork.
- Producing reports covering order status, supplier performance, stock arrivals, and shipments.
- Identifying overdue orders and potential supply issues and escalating these where appropriate.
- Supporting the Import Manager with reporting, data analysis, and KPI tracking.
- Working closely with Purchasing, Supply Chain, Distribution, Finance, and Commercial teams.
- Helping ensure import documentation is complete, accurate, and audit-ready.
- Supporting compliance with customs requirements, import regulations, and company procedures.

About You
We're looking for someone who is highly organized, methodical, and confident managing multiple priorities.
You will ideally have:
- Previous experience in an administrative role.
- Excellent attention to detail and a high level of accuracy.
- Strong organizational and planning skills.
- Good written and verbal communication skills.
- Strong Microsoft Office skills, particularly Excel.
- Experience working with databases or ERP systems.
- The ability to prioritize your workload and meet deadlines.
- A proactive approach and the confidence to follow up with suppliers and internal stakeholders.

- Import or export administration.
- Purchasing or procurement.
- Logistics or supply chain.
- Shipping documentation and international freight.
- ERP systems such as SAP, Microsoft Dynamics, NetSuite or similar.
- International supply chains and freight movement
