Job Description:
The Role
We are looking for a reliable and proactive Import & Customer Service Coordinator to join our busy UK team based in Bedford.
This varied role plays an important part in supporting both business operations and customer relationships. As the Import & Customer Service Coordinator, you will be responsible for planning and coordinating shipment purchase orders (POs) for the UK and EU markets, overseeing import shipments, managing delivery schedules, liaising with factories, and monitoring shipments to ensure goods arrive efficiently and on time.

Working closely with Production, Operations, and Sales teams, you will help ensure stock is delivered to meet production deadlines and customer requirements. Alongside your import responsibilities, you will provide outstanding support to our UK bridal retailers, acting as a key point of contact and helping to build and maintain strong customer relationships.
Key Responsibilities
Import Coordination
- Plan and coordinate shipment purchase orders (POs) for the UK and EU markets.
- Create and manage import shipments within the ERP system (AMT).
- Maintain shipment purchase orders with the most up-to-date departure and arrival dates.
- Monitor weekly booking reports and track shipment progress.
- Communicate regularly with factories regarding shipment schedules, delays, and extension requests.
- Alert Operations and Sales teams to any delays that may impact customer orders or production schedules.
- Revise shipment purchase orders where approved variances occur and communicate with factories where variances are not approved.
- Partner with Production to ensure shipments are scheduled to meet production deadlines and customer needs.
- Ensure accurate shipment data is maintained within the ERP system at all times.

Customer Service
- Respond promptly and professionally to customer enquiries via telephone and email.
- Process customer orders accurately and efficiently.
- Maintain accurate customer records and account information.
- Build and maintain strong relationships with UK bridal retailers and business partners.
- Deliver exceptional customer service and resolve issues in a timely and professional manner.
Brand Representation
- Represent the company at UK bridal trade shows and exhibitions.
- Support the launch of new collections and engage with customers and industry partners.
- Travel within the UK as required to attend trade shows and events.
While this role does not require driving as part of the job, the office location is not accessible by public transport. Candidates should therefore be able to travel to the office reliably.
