Import/Export Coordinator
Contract: 9/2/2026 - 3/1/2027
Working Hours: 8:30am–4:30pm or 9:00am–5:00pm
About the Role
We are looking for an experienced Import/Export Coordinator to manage the end-to-end operational process from purchase order intake through export fulfilment and post-delivery follow-up.
You will act as a key operational contact for customers, coordinating closely with Supply Chain, Master Data, Pricing, logistics partners and internal teams to ensure orders are processed accurately and shipments are delivered on time and in full.
The successful candidate will have strong hands-on experience across both imports and exports, with excellent attention to detail and the ability to manage multiple orders and priorities simultaneously.
Key Responsibilities
Customer & Order Management
- Act as the primary operational contact for customers.
- Receive, validate and process customer purchase orders.
- Manage PO amendments, including quantities, SKUs and loading dates.
- Communicate shipment plans, availability and export requirements.
- Support trials and new product introductions.
- Coordinate resolution of disputes and damaged goods claims.
SAP & Order Processing
- Create and maintain sales orders using SAP/OpenText.
- Apply pricing, batch and Incoterm information.
- Process FOC orders and arrange shipments.
- Resolve and clear stuck OpenText transactions.
- Ensure orders are routed correctly, including Maersk, non-Maersk, LCL and dangerous goods shipments.
- Work with Master Data teams to ensure required data is available for order creation.

Import/Export & Logistics
- Coordinate both import and export activities.
- Check stock availability against requested loading dates.
- Handover completed sales orders to logistics partners for booking.
- Release blocked orders and check stock readiness.
- Coordinate pallets, containers and packaging requirements.
- Arrange export packaging where required.
- Identify dangerous goods shipments requiring special handling.
- Maintain accurate records of POs and shipping documentation.
Post-Shipment & Reporting
- Investigate and follow up on pricing and shipment disputes.
- Support resolution of damaged goods issues.
- Produce daily and weekly operational reports.
- Monitor delivery notes and outstanding transactions.
- Participate in customer and logistics calls.
- Maintain accurate operational documentation and records.
Process Improvement
- Support operational projects and system improvements.
- Identify and resolve process gaps and workflow issues.
- Improve processes, documentation and operational visibility.
- Support EDI and other system-related projects.
- Assist with OpenText issues and workflow improvements.
- Take ownership of ad-hoc operational requirements and urgent shipments.

Team Support
- Provide support for HS Code activities and vendor liaison.
- Monitor SAP workflows.
- Train new team members and support customer-side operational training.
- Assist with issue resolution across the wider supply chain function.
- Provide holiday and absence cover when required.
Essential Skills & Experience
- Strong experience in both import and export operations.
- Previous experience in an Import/Export Coordinator, Logistics Coordinator, Shipping Coordinator, Supply Chain Coordinator or similar role.
- Hands-on experience with SAP is essential.
- Experience with OpenText or similar order-processing/validation systems is highly desirable.
- Strong understanding of international shipping and logistics processes.
- Experience working with Incoterms, shipping documentation and HS Codes.
- Experience handling dangerous goods shipments would be advantageous.
- Strong Excel skills.
- Excellent attention to detail and documentation skills.
- Ability to manage multiple orders and priorities simultaneously.
- Strong customer service and stakeholder communication skills.
- Ability to work independently and meet tight deadlines.
