In and Outbound Logistics Co-Ordinator

We are seeking a dynamic and detail-oriented In and Outbound Logistics Co-Ordinator to join our team. In this pivotal role, you will oversee the seamless coordination of inbound and outbound shipments, ensuring timely collection and delivery of company grocery products whilst achieving the most cost-effective transport solutions. The role is also responsible for ensuring compliance with customs and transport regulations, including Transit Security System (TSS) requirements, bonded movements, and HMRC customs processes. In addition, the Transport Planner will maintain accurate booking schedules for inbound deliveries and support the efficient flow of goods throughout the supply chain.

Key Responsibilities

Transport Planning

  • Plan, coordinate and manage third-party transport for the collection and delivery of company products.
  • Ensure all deliveries and collections are completed within customer and operational deadlines.
  • Source competitive transport rates while maintaining service quality and reliability.
  • Build and maintain strong relationships with transport providers and negotiate the best value for transport services.
  • Monitor transport performance and resolve any delivery issues or delays promptly.
  • Communicate effectively with suppliers, customers, warehouses and transport providers to ensure smooth operations.

Customs & Compliance

  • Manage all TSS (Trader Support Service) compliance requirements relating to the movement of goods.
  • Prepare, record and monitor bonded movements in accordance with HMRC regulations.
  • Complete customs documentation and receipt goods on the HMRC customs platform accurately and within required timescales.
  • Ensure all transport and customs records are accurate, complete and fully compliant with current legislation.
  • Liaise with customs agents, freight forwarders and government agencies where required.
  • Record Bonded goods movements on HMRC platform in preparation for Audits.
  • Supply packaging sales data information for ERP calculations.
  • Arrangement CHEP pallet movements by de-hiring on platform.

Booking & Administration

  • Maintain the company goods booking-in diary, ensuring warehouse delivery slots are accurately scheduled and updated.
  • Coordinate delivery appointments with suppliers, transport providers and warehouse operations.
  • Maintain accurate transport records, costs and supporting documentation.
  • Produce transport and performance reports as required.
  • Support continuous improvement initiatives to enhance transport efficiency and reduce costs.
  • Maintain pallet movement records for 3pl customers to apply charges appropriately.

Skills & Experience

Essential

  • Previous experience in a transport planning, logistics or supply chain role.
  • Experience coordinating third-party haulage providers.
  • Good understanding of transport operations within the grocery or FMCG sector.
  • Knowledge of TSS procedures and customs compliance.
  • Experience managing bonded movements and HMRC customs processes.
  • Strong organisational and planning skills with excellent attention to detail.
  • Ability to work under pressure and manage multiple priorities.
  • Strong negotiation and cost-control skills.
  • Excellent communication and relationship management skills.
  • Competent in Microsoft Office, particularly Excel, and transport management systems.
