Job Introduction
Role
The Induction & Access Coordinator, as an essential part of the wider security team, is responsible for the smooth operation of the project-wide access control and workforce management system. Reporting to the Induction and Access Lead, the successful candidate will act as the go-to for anything Induction-related queries for all 23 main site compounds and offices, managing all aspects of the induction process, knowledge of the competency framework, managing the workforce management system as per requirements set by project stakeholders. They will be approachable, a team player, and must have excellent communication skills to assist in liaising with our staff, sub-contractors, and visitors.
The Induction & Access Coordinator Is Responsible For
- Managing Access control
- Understanding competency management when uploading and verifying documents
- Managing the induction day for the project
- Troubleshooting with supply chain organizational administrators
- Maintaining the induction email box daily
- Verifications and checking of profiles for induction
- Action vetting clearance emails
- Maintain all induction processes via the Engage process and create the documents
- Maintain the procurement approval process before adding a new supply chain to the system
- Maintaining and chasing expired documents
- Briefing and guidance to the project team, subcontractors, suppliers, and 3rd parties on any developments to the system
- Representing SCS to ensure that the joint venture’s interests and commitment for security and safety are aligned with their needs
- Reporting any breaches or abuse of the system and escalation to the Security Systems Manager
- Driving innovation and the upskilling of the project team in all security systems matters and continuous improvement
- Support the wider Health Safety and Security team in the rollout of specific Health and Safety briefings and behavioral change program ‘Love for Life’

Essential Qualifications & Skills
- Excellent communication and interpersonal skills
- Experience in working within a fast-paced environment and team
- Experience as a systems coordinator or similar role
- Knowledge of competency management systems
- Good knowledge of data privacy law and GDPR
- Using Biosite or similar Workforce Management System
- Working in an extremely busy Onboarding / Inductions environment for construction and/or railway
- Knowledge of competency management – e.g., CITB / EUSR / CPCS, etc.
Desirable Qualifications & Skills
- Experience on a similar size construction project
- Experience in management systems
- Knowledge of induction process and procedures
- People/Systems related skills

Induction & Access Co-ordinator – A Day In The Life of :
7:30-09:30 Induction Meet & Greet
- Requires checking the attendance sheet and troubleshooting any discrepancies e.g. someone turning up unexpectedly
- Housekeeping and Introduction to the day
- Requires public speaking in Welcome Center Theatre
HSPS Portal registration
Biosite Registration
- Requires knowledge of Biosite portal and process of registration / access card registration and preparation
PPAC ID checks
- Requires knowledge of ID check processes. Verification of Right To Work checks carried out during registration process
D&A Tests / outcomes

Requires clear / confident communication with D&A Technicians and any troubleshooting required

Support Team guide from each area to ensure smooth running of HSPS Portal Registration / Biosite Registration / D&A are processed with excellent customer care and attention to results. Be confident to troubleshoot or escalate any queries/questions/issues.

09:30-16:30 Work through Daily Tasks (as listed)
Daily Tasks: Expected to be completed across the working day – within a 6-hour window as they determine the delivery of Core Inductions and site access each day.
Mon to Thurs, Induction Registration and/or Support (Meet & Greet, ID Checks via PPAC and Biosite Portal, Introduction Speech – Housekeeping to Inductees, D&A Process, Troubleshooting any queries/questions/issues, processing of access to site cards

Biosite Reports: run daily reports for Operative profile checks on Biosite and communicate via email regarding what is required for each individual

Due to Expire Report: work through this report communicating via email to chase expired qualifications that need updating to ensure that access to site is not disrupted

Right To Work Report: work through this report communicating via email to chase expired Right To Work document/information to ensure that access to site is not disrupted

Daily Emergency / Temporary / Vendors / Visitors / Fitters requests: work on site access across all these requests. Be responsible for processing requests received and the action of D&A where required in a timely manner.

Induction Inbox: Maintain a Team Inbox – requires consistent attention, team communication, and accountability in responding to and following through on task action requirements

Access Control: troubleshoots all site access issues with Security to ensure that any issues are resolved in a timely manner. Based on outcome – deliver the outcome with clear and factual communication to all required stakeholders
