Location: London – Heathrow

Contract: Permanent

Introduction to role

Vanderlande is the global market leader in airport baggage handling systems. Within the Project Execution team, the Information Management team supports the delivery of all UK projects by managing handover and project documentation, maintaining document control within Vanderlande's management systems, and coordinating documentation across customer databases and document control platforms.

Asset Integration is a key component of the airport handover process. This role requires a specialised combination of technical and administrative expertise, including knowledge of Vanderlande products, customer asset management processes and tools, and operation and maintenance requirements.

Role Responsibilities

The Information Manager/ Asset Integrator is responsible for ensuring that project information and asset data are defined, managed, validated, and integrated throughout the project lifecycle to support successful delivery and handover of airport infrastructure projects.

The role acts as the interface between project delivery teams, design consultants, contractors, asset owners, operations teams, and digital delivery functions, ensuring that information and asset data requirements are met in accordance with organisational standards, client requirements, and industry best practice. A key objective of the role is to ensure that accurate, complete, and structured information is delivered to support operational readiness, maintenance and asset management.

This role is ideal for a collaborative and detail-oriented professional with the ability to work effectively in a specialised technical environment. The successful candidate will be organised, thorough, and resilient, with the ability to manage complex challenges and deliver tasks to completion. A strong focus on accuracy, quality, and compliance with established standards is essential, as is a commitment to minimising errors. Responsibilities include researching and analysing information, working with multiple platforms, and following technical specifications. The role is well suited to an individual who is logical, methodical, self-motivated, and inquisitive, with a systematic approach to problem solving and a commitment to achieving high quality results.

Your responsibilities and activities will include:

  • Providing document control support for UK & Ireland projects
  • Facilitating document review processes.
  • Managing document release processes to client databases.
  • Establish and manage Common Data Environment (CDE) requirements across projects
  • Ensure compliance with organisational information management standards and project information requirements
  • Providing support to project teams in generating and updating documents utilising agreed templates and processes
  • Monitor the quality, completeness, and accuracy of project information deliverables
  • Coordinate information exchanges between internal and external stakeholders
  • Support digital project delivery practices, including BIM and information management processes
  • Ensuring appropriate document review and approval signatures are obtained by document owners
  • Working in partnership with the client to ensure compliance with their information and asset integration requirements and that newly installed systems are operable and maintainable
  • Working with project teams to ensure subcontractors and resale suppliers information relevant to projects are provided (to and from) in a timely manner and ensure records are maintained to provide an effective audit trail
  • Liaising with project teams, Vanderlande internal as well as suppliers and subcontractors, to understand scope and phasing of information management and asset integration requirements.
  • Actively contributing to continuously improving information management and asset integration tools and processes
  • Providing first line support to Project Execution team members in the use of information management tooling
  • Define asset information requirements in collaboration with asset owners and operational stakeholders.
  • Ensure asset data is captured, validated, and structured throughout project delivery
  • Coordinate the integration of engineering, operational, and asset management data into the applicable systems.
  • Manage asset information handover processes, ensuring all required deliverables are complete and verified.
  • Support the transition of information from construction and project delivery into operational asset management systems
  • Managing the asset integration process in client’s databases and generating relevant deliverables.
  • Ensuring that assets are integrated in client’s databases, with all relevant information available to the client.
  • Liaising with the client’s asset integration team to ensure smooth asset and document handover
  • Understanding the connection between physical assets and technical documentation, asset integration and its relation to post project activities (e.g. maintenance planning and scheduling, spare parts management)
  • Providing support for handover documents and technical construction file document management and asset integration management
  • Establish information quality controls and assurance processes
  • Conduct information and asset data audits across project stages
  • Monitor compliance with contractual data and information requirements
  • Identify and manage information related risks and issues
  • Prepare reports and metrics on information management performance and handover readiness
  • Act as the primary point of contact for project information and asset data matters
  • Engage with project managers, designers, contractors, airport operations teams, and asset managers
  • Facilitate workshops and reviews relating to asset information requirements and data readiness
  • Promote best practice in information management across project teams
  • Support the development and improvement of information management standards, templates, and processes
  • Identify opportunities to enhance digital delivery and asset information management practice
  • Delivery of complete and accurate project information in line with project and business requirements
  • Achievement of asset information handover requirements at project completion
  • Compliance with information governance, quality, and assurance standards
  • Successful integration of asset data into operational and applicable asset management systems
  • Support of efficient and effective project delivery through robust information management practices

  • Experience in information management, asset information management, or project controls within infrastructure projects
  • Understanding of asset lifecycle management and project delivery processes
  • Experience managing data and information within a Common Data Environment (Aconex, Forma, M-files)
  • Knowledge of information management standards and best practices
  • Strong stakeholder management and communication skills
  • Experience working with multidisciplinary project teams and external suppliers.
  • Degree or equivalent qualification in Engineering, Information Management, Construction, Asset Management or related discipline
  • Relevant professional experience in infrastructure project delivery
  • Demonstrates a highly organised and methodical approach, with strong attention to detail.
  • Committed to delivering a customer focused support service
  • Excellent communication skills, with a high level of IT proficiency
  • Able to accurately interpret, process, and manage information while maintaining high standards of quality and accuracy
  • Preferred experience within airport, aviation, transportation, baggage or major infrastructure environments
  • Experience with asset management systems (Maximo)
  • Understanding of BIM delivery and operational information requirements
  • Experience in project handover and operational readiness processes
