Gordon Hoffman Solicitors is managing recruitment on behalf of Reclaim My Finance.
About the role
We are a growing business with approximately 30 employees across three departments. We use multiple CRM and case-management platforms, Microsoft 365, telephone systems, WhatsApp, email and reporting tools.
We are looking for our first internal IT & Business Systems Lead to understand our business, take ownership of our systems and improve how they work together.
This is a hands-on role combining business systems improvement, practical integrations and everyday IT administration. You must be able to investigate problems and complete suitable technical work independently.
External specialists will support complex development, infrastructure and security projects. You will define their requirements, coordinate delivery and verify that the completed work meets our needs.
Your initial assignment
Review our systems, business processes, data flows, devices, access controls and supplier responsibilities. Produce a clear improvement plan covering:
- What is working and where problems or risks exist.
- Manual work, duplicated processes and integration opportunities.
- Priorities, estimated costs and delivery timescales.
- Work you can deliver internally and work requiring specialist support.

Main responsibilities
- Understand how each department works and translate its needs into practical technical improvements.
- Configure and maintain business applications, user permissions and workflows.
- Build and support straightforward integrations using APIs, connectors, webhooks and automation platforms.
- Write or adapt scripts where needed to automate tasks and process data.
- Investigate and resolve application, integration and data-flow problems.
- Handle everyday Microsoft 365, email, user-account and device administration.
- Improve company-device management and secure access to business systems, working with external IT specialists.
- Coordinate outsourced specialist developers and IT suppliers, test their work and ensure issues are resolved.
- Maintain clear documentation and oversee security and backup arrangements.
Our CRM platforms are already operational, and HubSpot is supported by an external specialist. You will work with existing suppliers while taking ownership of the wider company setup.
Essential experience
- Experience independently managing business systems or internal IT in an SME or similarly varied environment.
- Evidence of identifying technical problems and delivering improvements through to completion.
- Hands-on application configuration, troubleshooting and user administration.
- Practical experience personally building integrations or automated workflows.
- Understanding of APIs, authentication, data mapping, error handling and monitoring.
- Ability to write or adapt scripts, with working knowledge of SQL or structured business data.
- Practical Microsoft 365 administration and an understanding of device security and access controls.
- Experience defining requirements, managing suppliers and testing technical changes.
- Clear communication with non-technical colleagues.
- Strong organisation, documentation and prioritisation skills.

Experience with CRM, case-management, telephony, WhatsApp, Power Automate, Make, Zapier or n8n would be beneficial.
