Job Overview
We are seeking a detail-oriented and organized Intake Specialist – Entry Level to assist with receiving, documenting, and processing incoming requests, inquiries, and client information. The ideal candidate will have strong communication skills, attention to detail, and the ability to handle multiple tasks efficiently. This position is an excellent opportunity for an entry-level professional looking to develop experience in client support, administration, information management, and coordination.
Key Responsibilities
- Receive and process incoming inquiries, requests, applications, and documentation.
- Collect and accurately record required information in company systems.
- Communicate with clients, customers, or internal teams to obtain missing or additional information.
- Review submitted information and documents for completeness and accuracy.
- Maintain organized and up-to-date electronic records.
- Respond to routine questions and provide appropriate information or next steps.
- Enter and update data in databases, CRM systems, or other company platforms.
- Monitor the status of incoming requests and follow up when necessary.
- Route inquiries or cases to the appropriate department or team member.
- Maintain confidentiality when handling personal or business information.
- Prepare basic reports, summaries, and administrative documentation.
- Follow established procedures, workflows, and company policies.
- Identify incomplete or inconsistent information and escalate issues when appropriate.
- Perform other administrative and support duties as assigned.

Qualifications
- High school diploma or equivalent required.
- Associate or bachelor's degree is a plus.
- 0–2 years of experience in administration, customer service, client support, data entry, intake, or a related field.
- Strong written and verbal communication skills.
- Excellent attention to detail and accuracy.
- Strong organizational and time-management skills.
- Comfortable using computers, email, spreadsheets, and online systems.
- Ability to manage confidential information professionally.
- Ability to multitask and prioritize responsibilities.
- Strong problem-solving skills and willingness to learn.
- Ability to work independently and as part of a team.
- Must be authorized to work in the United States.

Preferred Qualifications
- Previous experience in customer service, administrative support, or client intake.
- Familiarity with CRM, case-management, ticketing, or database systems.
- Proficiency with Microsoft Office or Google Workspace.
- Experience handling forms, applications, records, or documentation.
- Previous experience working in a remote or hybrid environment.
