Job Description

The Integration / Project Assistant provides structured coordination, administrative support, documentation management, and follow-up across EMEA integration activities. The role supports regional integration leadership by maintaining trackers, preparing meeting materials, capturing actions, gathering inputs from stakeholders, and helping ensure that operational issues, risks, and dependencies are visible and followed through to resolution.

The position is suited to a highly organized project coordination profile with strong communication skills, attention to detail, and the ability to work across different functions within the organization and country teams during a complex regional transition.

Responsibilities

  • Support EMEA Advanced Diagnostics integration during the transition period
  • Maintain integration trackers for workstreams, owners, actions, risks, decisions, deadlines, and escalations.
  • Support preparation and follow-up for workshops, regional reviews, steering meetings, and workstream sessions.
  • Prepare concise summaries, status updates, slide inputs, and briefing notes for leadership.
  • Collect and consolidate stakeholder inputs on regional marketing, commercial applications, tenders, contracting, pricing, and quote-to-cash topics, support country and hub coordination by consolidating local updates and surfacing key concerns.
  • Follow up with functions and countries to confirm progress, next steps, and overdue items.
  • Prepare clear meeting notes, action logs, decision records, and follow-up communications.

Preferred Requirements

Experience

  • Background in project coordination, PMO assistance, business administration, commercial operations, sales operations, executive support with project exposure, business transformation, or integration support.

Educational background

  • A Bachelor’s degree in Business Administration, International Business, Project Management, Operations Management, Commercial Management or a related field would be appropriate.

Project coordination

  • Ability to manage meeting logistics, action logs, trackers, timelines, documentation, and follow-up across multiple workstreams.

Organization and attention to detail

  • Strong ability to structure information clearly, maintain accurate records, and manage competing priorities.

Stakeholder coordination

  • Comfortable working with regional and global stakeholders across Commercial Operations, Finance, HR, Legal, Regulatory, Marketing, Supply Chain, IT, GBS, external consultants, and country teams.

Written communication

  • Able to prepare clear meeting minutes, status updates, summaries, briefing notes, and stakeholder communications.

Process documentation

  • Able to support process mapping, current-state documentation, gap tracking, and consolidation of country inputs.

Risk and issue tracking

  • Able to maintain structured risk, issue, and dependency logs and follow up with owners to progress actions.

Digital tools

  • Confident using Microsoft Teams, Outlook, Excel, PowerPoint, SharePoint, OneNote, and project trackers.

Professional discretion

  • Able to manage confidential information and interact professionally with senior stakeholders.

Adaptability

  • Comfortable working in a fast-moving transition environment with changing priorities and multiple dependencies.

Language skills

  • Fluent English required; additional EMEA languages are an advantage.
