Job Description
Interim Facilities Manager - Edinburgh South
£26-£33 per hour - Static Site (Good access from Edinburgh bypass)
The Interim Facilities Manager is responsible for the effective operational management of facilities services across a healthcare facility in Edinburgh, ensuring a safe, compliant, efficient, and patient-focused environment. The role provides leadership for in-house maintenance teams and oversees the delivery of outsourced services, including catering, cleaning, and other soft services, while managing external contractors to ensure high standards of service delivery and regulatory compliance.
Duties & Responsibilities
- Lead the day-to-day delivery of hard and soft facilities management services across the healthcare site.
- Ensure the estate is safe, well-maintained, and compliant with all relevant legislation, healthcare standards, and organisational policies.
- Support business continuity by responding effectively to operational issues and prioritising maintenance activities.
In-House Maintenance
- Manage and supervise the in-house maintenance team, ensuring planned and reactive maintenance is delivered efficiently.
- Develop and monitor planned preventative maintenance (PPM) schedules.
- Allocate workloads, monitor performance, and support staff development.
- Ensure maintenance records are accurate and up to date using the organisation's CAFM or maintenance management systems.

Contractor Management
- Procure, manage, and monitor external contractors delivering specialist maintenance and facilities services.
- Ensure contractors comply with health and safety requirements, permit-to-work systems, and contractual obligations.
- Monitor contractor performance through KPIs, service reviews, and regular audits.
- Verify completed works and ensure value for money is achieved.
Catering and Soft Services
- Oversee the delivery of catering, domestic cleaning, waste management, portering, linen, and other soft FM services.
- Monitor service quality, hygiene standards, and customer satisfaction.
- Work closely with service providers to drive continuous improvement and resolve operational issues.
- Ensure compliance with food hygiene legislation and infection prevention standards.
Health, Safety, and Compliance
- Ensure compliance with all relevant legislation, including Health & Safety, Fire Safety, HTM guidance where applicable, and statutory inspections.
- Support risk assessments, audits, and incident investigations.
- Ensure all facilities-related compliance documentation is maintained and readily available.
- Promote a positive health and safety culture throughout the facilities teams.
Stakeholder Management
- Develop effective working relationships with clinical teams, senior management, contractors, and external agencies.
- Act as the main point of contact for facilities-related operational issues.
- Provide regular reports on service performance, compliance, and operational risks.

Person Specification
Essential
- Significant facilities management experience within a healthcare, NHS, or similarly regulated environment.
- Experience managing both in-house maintenance teams and outsourced facilities contracts.
- Strong knowledge of hard and soft FM services.
- Experience managing catering and soft service operations.
- Good understanding of statutory compliance and health and safety legislation.
- Experience managing contractors and service level agreements.
- Strong leadership, organisational, and problem-solving skills.
- Excellent communication and stakeholder management skills.
- Proficient in Microsoft Office and CAFM systems.
Desirable
- IWFM Level 4 or Level 5 qualification (or equivalent).
- NEBOSH General Certificate or IOSH Managing Safely.
- Knowledge of Scottish healthcare standards and NHS Scotland guidance.
- Experience working within interim or transformational facilities management roles.
Working Conditions
- Based on-site in Edinburgh, Monday - Friday 08.00-17.00
- Interim appointment with occasional flexibility required to support operational needs.
- Regular site inspections and interaction with operational teams and contractors.
