Interim Operations Coordinator - Hand Picked Hotels

Location: Sevenoaks, Kent.

Salary: Range (£35,000 to £42,000 pro rata)

Job Type: Full time - 40 hours per week - Interim 6 months (November 2026 start)

Hand Picked Hotels is seeking a reliable interim Operations Coordinator to support an operational workstream. The role will manage a high volume of routine records across approved business systems, maintain accurate audit trails and ensure that exceptions to be resolved or reach the right internal teams promptly.

The successful individual will work closely with central operations, finance, hotel teams and systems support. The assignment requires accuracy and confidence following a defined process in a live operational environment.

Key Responsibilities

  • Review designated operational records at agreed intervals throughout the working day.
  • Cross-check information across approved internal systems and confirm that key details align before updating records.
  • Complete routine system updates in line with documented procedures, access permissions, and agreed controls.
  • Maintain an accurate activity tracker and a clear audit trail for each completed item.
  • Identify duplicates, mismatches and incomplete information, and hold unclear items for review rather than making assumptions.
  • Prioritise time-sensitive cases and escalate them through the agreed route.
  • Prepare daily summaries of completed work, outstanding items and aged exceptions.
  • Support daily review and reconciliation activity with the relevant central teams.
  • Follow information security, confidentiality and data protection requirements at all times.
  • Contribute practical feedback during mobilisation, training, and any initial pilot period.

  • You will have strong attention to detail and a consistent approach to repetitive, time-sensitive work.
  • Confidence in using business systems, spreadsheets and structured trackers.
  • Knowledge of Opera and other Front Of House systems will be an advantage (hospitality).
  • Have the ability to investigate discrepancies, record evidence clearly and escalate issues appropriately.
  • Strong clear written and verbal communication with both central and site-based teams will be a key skill.
  • You will have sound judgement when handling confidential or sensitive information.
  • Be able to work independently while following defined controls and deadlines.
  • You will have previous experience with high-volume transactional processing, reconciliations, controlled exception management.
  • Experience in hospitality, travel, leisure or another multi-site service environment would be an advantage.
  • Familiarity with property management, booking, finance or payment-related platforms.
  • Experience supporting daily reconciliation, exception management or controlled manual processes.
