Role Description
Be part of a team providing administrative support to various teams and Heads of Department within Amundi (UK) Limited. Acting as first point of contact and thereafter sharing workload and responsibilities with other members of the Administration team. This is a 1 year internship based at our London Office.
Main Tasks and Accountabilities
- Providing admin/facilities support as and when needed making sure the day-to-day operations of the team are running smoothly.
- Providing reception cover when necessary lunch/holiday.
- Acting as the first point of contact for the team within the admin inbox.
- Organizing business trips for different departments including booking flights, hotels, taxis and scheduling itineraries, and using initiative to resolve sudden changes to itineraries/schedules.
- Providing support in the preparation of internal & client events.
- Processing expense claims from business trips.
- Controlling and submitting of expenses claims for approval.
- Provide support with internal/external events.
- Preparing general correspondence, including confidential documents, and drafting responses to correspondence.
- Support for the other members of the team as and when needed.
- Handling overseas visitors agendas.
- Screening telephone calls, taking and conveying messages where appropriate.
- Printing and collating all documentation as required.
- Organizing other ad-hoc internal and external meetings.
- Meeting minutes taking.
- Creation of promotional posters/material for these events.
- Creation and maintenance of the London Branch Sharepoint (intranet).
- Providing reception cover when necessary lunch/holiday.
- Providing admin annual leave coverage for the admin team.
- Supporting with any other ad-hoc administrative/facilities support.
- Protecting and ensuring the confidentiality of all information.
- Continually looking for opportunities to improve system and procedures to maximize team efficiencies.
- Undertaking ad-hoc administration tasks as required.

- Self-starter with a “can do” attitude, willing to adapt and take on challenges.
- Highly organised with excellent abilities to multi task.
- Excellent time management skills and a team player.
- Strong verbal & written communication skills.
- Strong Microsoft Office skills particularly with Outlook, PowerPoint and Excel.
- Executive Administrative Experience.
- Experience with calendar management and travel arrangements.
