About The Role
ZIVA UK is looking for a highly organised, proactive and commercially minded Sales Support Coordinator to provide day-to-day support to the sales team and help ensure customers, suppliers and third-party partners receive a consistently high level of service.
This is a varied role covering sales administration, pricing, deliveries, customer service, invoicing, bookkeeping, aftersales, marketing and tender support. The successful candidate will be a key point of coordination between the sales team, customers, suppliers, installers and internal stakeholders.
Key Responsibilities
Sales & Commercial Admin
- Support the sales team with day-to-day administration and customer requirements.
- Obtain, review and coordinate third-party pricing and supplier quotations.
- Prepare pricing information, quotations and supporting documentation as required.
- Respond to product queries and coordinate information from relevant internal or external sources.
- Maintain accurate customer, quotation, order and product records.
- Provide general administrative support to the Head of Sales and wider sales team.
- Marketing support as required i.e coordinating events, managing website leads.
Deliveries, Logistics & Installations
- Coordinate customer deliveries from order through to completion.
- Arrange and track deliveries with couriers, freight providers, suppliers and third parties.
- Keep customers updated on delivery dates, timings and any changes or delays.
- Coordinate delivery and installation requirements with customers, installers and other relevant parties.
- Resolve delivery issues promptly and escalate where appropriate.
- Maintain accurate records of delivery and installation status.

Invoicing & Bookkeeping
- Support the preparation, processing and administration of customer and supplier invoices.
- Assist with bookkeeping and routine finance administration.
- Check invoices and supporting documentation for accuracy.
- Liaise with customers and suppliers regarding invoice queries where required.
- Maintain organised records and provide information to support finance processes.
Aftersales & Warranty
- Act as a first point of contact for customer aftersales queries.
- Log, manage and follow up warranty claims and product issues.
- Coordinate with suppliers, technical teams and other stakeholders to reach timely resolutions.
- Keep customers informed throughout the resolution process.
- Ensure outstanding issues are followed through to completion and records are kept up to date.
Tender Support
- Provide administrative and commercial support for tenders and bids.
- Coordinate pricing, product information, specifications, certificates and other supporting documentation.
- Help ensure tender submissions are accurate, complete and submitted on time.
- Maintain a library of relevant product and company information to support future tenders.
General Administration & Communication
- Manage multiple priorities and deadlines across live sales opportunities and customer orders.
- Communicate professionally with customers, suppliers, installers and colleagues.
- Identify potential issues early and take ownership of resolving or escalating them.
- Support continuous improvement of sales administration and order-management processes.
Person Specification
Essential
- Strong organisational and administrative skills with excellent attention to detail.
- Confident written and verbal communication skills.
- Ability to manage several tasks, customers and deadlines simultaneously.
- Proactive approach with a strong sense of ownership and follow-through.
- Good working knowledge of Microsoft Office, particularly Excel, Word and Outlook.
- Comfortable working with figures, pricing, invoices and commercial information.
- Professional and customer-focused approach.

Desirable
- Previous experience in a sales administration, sales support, order management or customer service role.
- Experience dealing with deliveries, logistics, installations or third-party suppliers.
- Experience with invoicing, bookkeeping or finance administration.
- Experience supporting tenders, bids or procurement processes.
- Experience in fitness equipment, commercial equipment, construction, interiors or another project/order-driven environment.
- Experience using CRM, accounting or order-management systems.

The successful candidate will help the sales team operate efficiently by keeping pricing, orders, deliveries, customer queries, invoices, aftersales issues and tender information organised and moving forward. They will become a dependable central point of coordination and help deliver an excellent customer experience from initial enquiry through to delivery, installation and aftersales.
