Scope
The Inventory & Systems Manager is responsible for leading East West Connect's inventory, stores and stock-control systems, ensuring materials and stock are visible, accurately controlled, traceable and correctly allocated to job, project and cost centre.
To act as the business lead for inventory processes with WASP, joblogic and 4PS, driving data accuracy system improvement, stock visibility and operational efficiency across all locations.
To work collaboratively with Procurement, Operations, Commercial and IT teams to optimise inventory performance, support accurate job costing, maintain compliance and deliver continuous business improvement.
To lead and develop inventory and stores operations, providing robust governance, reporting and controls that support EWC’s growth and operational objectives.
Knowledge
Minimum qualifications/experience for this role are:
Essential Experience
- Significant management experience in inventory, stores, materials, procurement or logistics.
- Experience improving stock-control processes across multiple stakeholders or sites.
- Experience implementing or materially improving an inventory, ERP or job-costing system.
- Experience leading cross-functional projects and influencing without direct authority.
- Experience producing management information and concise senior reporting.
Desirable
- Experience with JobLogic, WASP, 4PS / Dynamics, Power BI or comparable platforms.
- Experience in building services, maintenance, facilities or construction.
- Experience with material traceability, Golden Thread or audit-led environments.
- Formal project, procurement or process-improvement qualification.

Duties
Inventory Strategy & Governance
- Develop the inventory and stores improvement plan and consistent controls across stores, warehouses, vans and remote locations.
- Own stock counts, discrepancy investigation and corrective actions, escalating material risks as needed.
Stores & Inventory Operations
- Oversee goods-in, storage, picking, goods-out, returns and transfers across all locations.
- Balance material availability against unnecessary holdings, duplicate purchasing and obsolescence.
Systems Ownership & Integration
- Act as senior business owner for WASP, JobLogic and 4PS inventory workflows, requirements and validation rules.
- Coordinate with IT and suppliers on integration and testing, and lead user acceptance testing.
- Maintain a log of system defects, exceptions and change requests.
Data Quality & Master Data
- Set standards for stock codes, categories and valuation data, and own data quality across systems.
- Define data ownership across Procurement, Stores, Operations, Commercial and IT.
Procurement, Estimating & Commercial
- Give Buying teams visibility of stock, consumption and reorder needs to reduce unnecessary purchasing.
- Support Estimating with usage and cost data, and Commercial with accurate job-cost allocation and reporting.

Operational Delivery Partnership
- Work with operational managers to align stock control with planned, reactive and emergency work.
- Improve visibility of van, site and container stock, and support accurate job costing.
Reporting & Board Communication
- Produce functional reporting for operational teams and regular performance reporting for senior management.
- Prepare concise Board-level reports on risk, working capital and governance.
Compliance, Audit & Traceability
- Maintain a clear audit trail from purchase and receipt through to job allocation, supporting Golden Thread requirements.
- Maintain evidence for internal/external audits and compliance reviews.
Leadership & Capability
- Lead Stores and inventory personnel, setting objectives and supporting team development.
- Maintain role-based training, SOPs and competency standards.
Supplier & Project Management
- Manage relationships with system and integration suppliers, and support related business cases.
- Maintain implementation plans, risk registers and decision logs.
Decision-Making & Authority
- May set operational stock-control standards and workflows within the approved governance framework.
- May block or escalate transactions failing validation, authorisation or compliance requirements.
- Recommends, rather than independently approves, material investment or policy changes unless separately delegated.
