About the Role

We are looking to recruit an individual with passion for the industry to join a well-established team. The role will involve all aspects of investment administration as well as supporting the Head of Office with administration and office management tasks.

This work will cover all aspects of administration of the accounts, from opening, working with investment managers during the account’s life, and closing accounts, while ensuring this is performed in a compliant manner. It will also involve supporting the Head of Office with diary and general office management. Attention to detail and delivering on deadlines are essential.

The individual will report to the Head of Office whilst working closely with the investment managers and rest of the team / office.

We will provide full training for the role, we work collaboratively to achieve the teams’ goals, and you will progress in the career path when you are comfortable with the varied tasks.

You should be comfortable writing and responding to emails and letters as well as talking to clients on the phone.

As your role is central within the team, you will be assisting in general administration tasks. These duties are varied daily, but usually consist of:

  • Answering the phones
  • Preparing suitability letters and maintenance of suitability affirmations
  • Assisting in the production of investment proposals and PowerPoint presentations
  • Assisting in the distribution of ongoing client reporting

You will be required to facilitate the smooth opening of new accounts, arrange payments to our clients and advisers, and ensure Investment Managers are well prepared for client meetings.

You will be working very closely with our clients and their agents (IFAs, solicitors and accountants) to provide the best service with information and reports regarding their portfolio, which necessitates close relationship building with our stakeholders whether that be internally or externally. You will therefore need to have a pleasant and personable manner, able to get on with a variety of clients and have a keen eye for detail.

You are required to help with general team admin tasks like:

  • Meeting minutes
  • CPD (continuous professional development) record keeping for regulated members of the team
  • Booking events, meeting rooms and restaurants for clients’ meetings

About You

Ideally you will have experience in a similar role as an Investment Administrator within Wealth or Investment Management, however this is not essential.

Strong administration skills are a must.

To be successful in this role you will be an independent worker and thinker.

You have an interest in financial services or have a good understanding of our financial services where you can utilise your knowledge and experience within investment management.

A good level of communication skills is required.

A high level of Microsoft Office, especially practical experience with mail merges and producing presentations.

A willingness to learn, and take on responsibility is essential to ensure your team is supported.
