Job Opportunity

Mackenzie Stuart are currently partnered with a leading Financial Services & Asset Management firm who are seeking a highly organised and energetic Executive Assistant/Investor Relations Coordinator to support a Managing Director in a fast-paced environment.

This role will be heavily focused on travel and expense coordination, investor communications, roadshow logistics, and high-level calendar and meeting management, ensuring the MD is always represented professionally and effectively.

  • Manage complex travel arrangements, itineraries, hotels, flights, and expense administration
  • Coordinate roadshows, conferences, investor meetings, and internal/external schedules
  • Act as a first point of contact for investor queries and meeting coordination
  • Track who is attending, who is travelling, and what is coming up next across schedules
  • Prepare and maintain Excel spreadsheets for travel, meetings, and reporting
  • Support the MD with proactive planning and seamless day-to-day execution
  • Ensure all interactions reflect a polished, professional representation of the MD

Requirements

  • 6+ years’ experience in an Executive Assistant, Investor Relations, or similar support role
  • Background in financial services or an institutional environment required
  • Strong experience managing travel, expenses, diaries, and complex scheduling
  • Confident using Excel and handling multiple priorities in a fast-paced setting
  • Proactive, highly organised, and calm under pressure
  • Comfortable with significant travel and a highly responsive workload
