IT Asset Management Coordinator
Job Description Summary
The IT Asset Management Coordinator will be required to assist in the end-to-end oversight and deployment of IT hardware and software assets across their entire lifecycle. This role ensures the company maintains accurate asset records, aligns with ITIL standards, complies with security protocols, and executes deployments and decommissions efficiently. The ideal candidate is process-oriented, detail-driven, and capable of operating at both tactical and strategic levels. This position supports BAU (Business-as-Usual) activities as well as enterprise-level IT projects.
Key Responsibilities:
- Manage the end-to-end lifecycle of IT hardware and software assets, including procurement, deployment, tracking, maintenance, refresh, and retirement.
- Maintain accurate asset records across systems such as Workday, Intune, SCCM, and other asset management platforms, ensuring inventory data remains up to date and audit-ready.
- Coordinate equipment provisioning for new hires, internal movers, and leavers, ensuring employees have the appropriate technology and that returned assets are recovered, reimaged, and redeployed where appropriate.
- Support software asset management activities, including licence tracking, renewals, utilisation monitoring, and compliance with vendor agreements.
- Oversee the return and decommissioning of IT assets, ensuring secure data wiping, appropriate disposal or recycling, and adherence to company security and sustainability standards.
- Manage inventory and storage areas, maintaining well-organised stock levels and ensuring equipment is available for business requirements.
- Liaise with external vendors and service providers to coordinate repairs, warranty claims, returns, and replacement equipment while monitoring service levels and performance.
- Assist with software deployments, device configuration, operating system rollouts, and troubleshooting alongside wider IT support teams.
- Produce and maintain documentation, user guides, inventory reports, and process records to support operational efficiency and compliance.
- Support IT projects and technology refresh programmes by coordinating logistics, tracking assets, monitoring progress, and ensuring successful delivery across the business.
- Contribute to continuous improvement initiatives by identifying opportunities to enhance asset management processes, increase asset utilisation, and improve the end-user experience.

Skills & Experience:
- Experience in IT Asset Management, IT Support, IT Operations, or a similar technology-focused environment.
- Strong understanding of IT asset lifecycle management, including procurement, deployment, inventory management, and decommissioning.
- Familiarity with IT service management processes and ticketing systems such as ServiceNow, Jira, or similar platforms.
- Good working knowledge of Windows, macOS, and mobile device environments.
- Proficiency in Microsoft Office, particularly Excel, for reporting and asset tracking.
- Experience maintaining accurate records and managing data across multiple systems.
- Strong organisational skills with excellent attention to detail.
- Ability to manage multiple priorities and work effectively in a fast-paced environment.
- Strong communication and stakeholder management skills, with the ability to engage technical and non-technical audiences.
- Proactive, process-driven approach with a focus on continuous improvement and problem-solving.
- Experience with endpoint management tools such as Intune, SCCM, Autopilot, or JAMF is desirable.
- Knowledge of software licensing, compliance, and vendor management would be advantageous.
- Experience supporting IT projects, technology refresh programmes, or hardware rollouts is beneficial.
- Understanding of IT governance, security controls, and compliance requirements is desirable.
