Role Purpose
The Business Analyst plays a critical role in bridging the gap between business operations and technology delivery. Working closely with business stakeholders, subject matter experts (SMEs), and technical teams, the Business Analyst will identify, analyse, and document business requirements to support process improvements, system enhancements, and new development initiatives. A key focus of the role is managing Visualfiles-related New Work Requests (NWRs), ensuring requests are effectively triaged, scoped, documented, and translated into clearly defined technical deliverables.
The successful candidate will be highly proactive, possess excellent stakeholder management skills, and have strong business process modelling capabilities.
Key Responsibilities
Requirements Management & Analysis
- Manage the intake, triage, and initial assessment of Visualfiles New Work Requests (NWRs)
- Work with stakeholders to understand business challenges, opportunities, and desired outcomes
- Facilitate workshops, interviews, and discovery sessions to gather business requirements
- Proactively engage with stakeholders and SMEs to collect all relevant information required to define solutions
- Analyse and validate requirements to ensure completeness, accuracy, and alignment to business objectives
- Challenge assumptions and identify opportunities for process improvement and automation
Stakeholder Engagement
- Build strong relationships with business stakeholders, operational teams, compliance functions, and technical specialists
- Act as the primary liaison between business users and development teams
- Facilitate effective communication between technical and non-technical audiences
- Manage stakeholder expectations throughout the project lifecycle
- Obtain formal validation and sign-off of requirements, solution designs, and business impacts

Solution Definition
- Translate business requirements into detailed functional specifications and technical deliverables
- Produce user stories, acceptance criteria, process documentation, and functional requirements
- Ensure requirements are sufficiently detailed to support accurate development and testing
- Support prioritisation of development activities based on business value, risk, and complexity
Process Mapping & Impact Assessment
- Document current-state and future-state business processes using recognised process mapping methodologies
- Produce workflow diagrams, business process maps, and supporting documentation suitable for system design and development
- Conduct impact assessments for proposed changes, identifying operational, compliance, customer, and technology impacts
- Identify dependencies, risks, and opportunities arising from process and system changes
- Support the design and optimisation of system workflows within Visualfiles and associated platforms
Change & Delivery Support
- Collaborate with project managers, developers, testers, and operational teams throughout delivery
- Assist with solution reviews, user acceptance testing (UAT), and implementation activities
- Support business readiness activities, including training materials and process documentation, working with Learning & Development
- Monitor delivered solutions to ensure they meet agreed business outcomes

Key Skills & Experience
Essential
- Proven experience as a Business Analyst within a technology, legal, financial services, or professional services environment
- Strong requirements gathering and documentation skills
- Experience facilitating stakeholder workshops and discovery sessions
- Excellent business process mapping and workflow design capability
- Ability to translate business requirements into technical specifications
- Strong analytical and problem-solving skills
- Excellent written and verbal communication skills
- Experience performing business impact assessments and gap analysis
- Ability to work independently and proactively manage multiple workstreams
Desirable
- Experience working with Visualfiles or other case management/workflow platforms
- Experience within conveyancing, legal services, or regulated environments
- Knowledge of Agile and Waterfall delivery methodologies
- Experience with process improvement frameworks such as Lean or Six Sigma
- Familiarity with workflow automation, AI, or digital transformation initiatives
