As an IS Office Assistant Coordinator at Guide Dogs, you’ll help ensure the smooth running of IT operations by assisting the Coordinator to deliver efficient administrative and coordination support. You'll play an important role in enabling colleagues across the organisation to access the technology, products, and services they need to work effectively. The IS Office Assistant Coordinator will be efficient in administration and coordination, ensuring activities are delivered accurately, efficiently, and in line with agreed processes and standards. Our IS Office Assistant Coordinator plays a huge part in ensuring everything we do enables us to deliver on our purpose and exceed expectations.
Key Responsibilities
- Support IT purchasing, including asset ordering, allocation, and tracking, as well as any administration relevant to technology assets.
- Prepare IS hardware for shipping and courier transport and process returned hardware, which includes manual handling requirements.
- Provide seamless departmental administrative support across internal IT teams for a variety of project, routine, and non-routine operational meetings.
- Support the general office day-to-day operations within the Service Delivery Team.
- Provide administrative assistance to the IS Office Coordinator as they support the audit and assurance activity of the IT directorate.
- Maintain the IT assets register, ensuring it is accurate and up to date.

Skills and Competencies
- GCSE or equivalent in Maths and English.
- Experience in an administrative or coordinator role.
- Experience managing multiple tasks and priorities in an organised manner within a busy environment.
- This role involves manual handling, including lifting, carrying, and moving equipment as well as visual inspection of purchased or returned assets. Reasonable adjustments will be considered where required.
- Computer literate with proficient Microsoft Office skills, including the ability to use Excel formulas.
- Experience maintaining accurate records and databases.
- Experience dealing with customers, colleagues, or suppliers.
- Awareness of the importance of compliance and data protection.
- Basic knowledge of technology and information services.
