Summary
Job description
The position of IT PMO is within the UK IT CIO Office team. The team is responsible for supporting the GIT & RMC Department with the budget process and administration. We are looking for a dynamic, self-motivated and hands-on individual with a flexible and adaptable approach to fill this challenging position. The PMO analyst function is including but not limited to staff plan, budget, forecast, and budget system support. We are also playing a key role in the planning process, identifying and implementing cost reduction initiatives.
This person will have a good knowledge of management accounting and be able to take responsibility in running the monthly IT finance processes and the annual & monthly budget/forecast within the department. The role will require the person working closely with various managers and PMO across London and Paris as well as with the central financial control function in the UK.
Reporting to the Head of CIO Office UK, the successful candidate shall:
Key Responsibilities
Governance & Reporting
- Prepare, produce, collate and perform sanity checks on IT Steering Committee and key management reports (Financial and non-financials)
- Facilitate GIT & RMC committees by producing meeting minutes and action trackers for key governance forums
- Monitor and chase up outstanding actions across business lines and validate actions upon completion
- Co-ordinate with PMOs with respect to financial and project reporting
- Producing KPIs and provide detailed reports to internal stakeholders
- Review and update IT governance documentation to ensure accuracy and alignment with current standards
Resources Management
- Investigate on Time tracking, flag variances and provide insights to managers on preventive/corrective actions
Optimisation
- Participate in process improvement with a view to streamlining, automating and improve efficiency
- Contribute to managing impact of change by collaborating with stakeholders to bring them on to the change journey and ensure delivery of the desired business outcome
- Prepare procedure and process documentation
- Apply data analysis techniques to enhance risk assessment and budget reporting accuracy

Communication
- Community manager: manage the collaborative platform of documentation repositories and shared information (SharePoint)
- Facilitate cross-functional communication within IT teams to ensure timely project delivery
Legal and Regulatory Responsibilities
- Comply with all applicable legal, regulatory and internal Compliance requirements, including, but not limited to, the London Compliance manual and the Financial Crime Policy.
- Maintain appropriate knowledge to ensure to be fully qualified to undertake the role. Complete all mandatory trainings as required to attain and maintain competence.
